Summary:

The University Advancement Program Assistant (PA) provides a broad range of administrative, event, and marketing support services to the Office of Alumni Relations as they carry out events and programs to deepen the engagement and philanthropic activity of American University’s alumni, donors, prospects, and friends of AU. The assistant will provide administrative support for local, national, and virtual events, programs, and volunteer activities, with a focus on signature-level alumni engagement events and programs.

Essential Functions:

  • Provide overarching administrative and planning support for local, national, and virtual events, programs, and volunteer activities. Tasks may be inclusive of: working with vendors and colleagues to confirm event logistical details;  creating online registration pages; processing registrations by phone and e-mail; preparation (and shipping, when applicable) of event materials; nametag creation and event signage creation; registration and event supply preparation and organization; and other administrative details as applicable. In addition, the Program Assistant tracks and reports event registration data for all signature events. Update AU systems (including CRM and others) with correct or updated addresses, names, titles, etc. for alumni and other constituents as appropriate.

  • Provide communications support for programs and events inclusive of email, print, web, and social media, as needed.         

  • Support central office functions that increase efficiency for the entire team. This includes: answering phone for main Office of Alumni Relations phone and directing inquiries; monitoring the email inbox; reserving workspace; ordering supplies for events and for the office; and greeting and directing visitors, when necessary.

  • Regularly update tracking systems with event data, including CRM, and work with Advancement Operations colleagues to ensure accuracy.

  • Other duties as assigned.

Position Type/Expected Hours of Work:

  • Full-Time.

  • 35 hours per week.

  • Availability to work some nights and weekends, as required.


Salary Range:

  • $22.86 - $26.00 per hour.


Required Education and Experience:

  • High school diploma or equivalent.

  • 1 - 3 years of experience.

  • Demonstrated organizational and decision-making skills.

  • High level of self-motivation and follow-through on assigned tasks and responsibilities.

  • Clear, concise reporting and writing style.

  • Computer literacy, particularly MS Word and Excel.

Preferred Education and Experience:

  • Bachelor's degree or equivalent.

  • 2 - 3 years of administrative experience.

  • Familiarity with Outlook and OneDrive suite of programs.

  • Mature and professional attitude; customer/client focus; highly developed interpersonal skills; energetic and detail oriented.

  • Intercultural communication skills and a level of intercultural competence preferred.
