The Contracts & Licensing Administrator is a trusted partner in keeping our business running smoothly and compliantly. In this role, you’ll take ownership of the full lifecycle of contracts and business licenses, ensuring everything is accurate, organized, and compliant. You’ll be the expert behind the systems that keep us moving—managing our contracts and licensing software, supporting regulatory and contractual requirements, and providing key support to our accounting team.
As the designated software administrator and super user, you’ll also be the go-to resource for training and support—empowering Team Members to confidently navigate our systems while helping the company maximize efficiency. What You Will Do
Maintain and update electronic databases, filing systems, and records related to contracts and licenses.
Administer and serve as super user for the Legisway software system; provide training and ongoing support to internal stakeholders.
Monitor compliance with contractual and licensing requirements; track deadlines and coordinate with managers to ensure terms and conditions are met.
Assist management with the creation, review, and finalization of contracts and business licenses.
Develop and manage reporting of key contract and license data, including critical dates, requirements, and performance indicators.
Provide general administrative support for the accounting office, including mail processing, office supply management, and meeting coordination.
Perform other duties as assigned.
What You Bring
Education & growth mindset: You have an Associate’s degree in Business Administration, Paralegal Studies, or a related field (or equivalent experience). A bachelor’s degree is even better.
Experience that counts: At least 5 years in an administrative role, ideally supporting contracts, licensing, or compliance.
Tech-savvy skills: You’re comfortable with contract or document management software (bonus points if you’ve worked with Legisway), and you know your way around Microsoft Office Suite (Word, Excel, Outlook, Teams).
System thinker: You’ve worked with databases or multiple software platforms and can navigate between them with ease.
