Position Summary

The College of Arts & Sciences is looking for a motivated and enthusiastic individual to join our operational finance team. The largest undergraduate program at Washington University, the College of Arts & Sciences contains approximately 4,500 degree-seeking undergraduate students. The operational finance team oversees budgets and financials for the advising and student-facing programming of the College of Arts & Sciences as a whole, as well as support for PreCollege, Summer and visiting student programs, along with the College Writing Program, the Office of Undergraduate Research and the Office of Overseas Programs. This position provides transactional and budgetary support to all programs under the College Office umbrella. Areas for support and systems used may expand or change as the role develops.

Job Description

Primary Duties & Responsibilities:

Financial Operations

  • Supports day-to-day financial transactions for departments and programs in the College of Arts & Sciences. 
  • Initiate/review for approval purchasing transactions, maintaining paperless documentation for each.
  • Review all purchases for appropriate grant or university funding allocation & correct budget coding.  
  • Review procurement card transactions for university and grant compliance; code for accurate budget reporting) for all cardholders. Alert cardholders of prohibited practices/purchases; resolve by cardholder reimbursement deposit. Finish review for approval. 
  • Process spend authorizations; review supporting documentation and submit approval-ready expense reports on a timely basis per university/funding agency guidelines.
  • Process internal and external invoices.
  • Review reimbursement requests for appropriate university funding allocation & budget coding. Advise on compliance issues & resolve, prior to processing.
  • Maintain knowledge of all gifts, grants, and project funds used by various parts of the College.

 Reporting and Analysis 

  • Analyze income and expenses, make investigations, assemble data and prepare projections and reports for planning and decision making.  Process journal entries and budget adjustments for restricted and unrestricted accounts as necessary.  Incorporate data and ideas in formal and/or informal reports, providing recommendations for problem issue resolution as appropriate.
  • Assist the College accounting team by providing requested information, resolving financial issues and providing guidance and direction on the financial impact of new initiatives.  
  • Determine reporting needs and create customized user reports for departments and programs that are tailored to their specific operational needs.  Remain current in new applications to ensure effective and efficient delivery of information.
  • Review reports for data consistency, optimization, and account balances.

Budgeting and Forecasting  

  • Provide entry and reconciliation support for annual budget process. 
  • Work with Accounting team on forecasting and planning for future budgetary needs. Provide research to assist in the forecasting.
  • Monitor account balances, maintain open encumbrances, process journals and budget adjustments to properly maintain budget.

Student Billing and Processing

  • Run course enrollments reports to determine need for billing on student accounts
  • Understand pricing and policy rules for all programs managed within the College
  • Bill student accounts as needed based on pricing and policy rules. 
  • Support billing for PreCollege programs, summer courses and programs, visiting students, WashU study abroad programs, and other programs that may arise as the priorities of the College Office shift.
  • Adjust student billing for tuition adjustments as directed by the appropriate staff member in the College
  • Communicate with Student Accounts Office, parents, and students regarding billing questions.

Salary Range

$21.17 - $32.85 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
