About the Role
The Systems Support Specialist will play a key role in improving Oxeon’s technology and helping our team get the most out of our technology stack. The responsibilities will include user training (onboarding, super-user development, and training on new capabilities), ensuring data and process hygiene, collaborating with our executive search team to optimize workflows, and liaising with external vendors. This role will also be responsible for identifying new technology tools, troubleshooting issues, and developing and documenting procedures. Your work will directly contribute to the efficiency and productivity of our entire firm.
Role Responsibilities
User Support & Training:
Serve as the primary point of contact for all technology-related support requests, providing timely and effective issue resolution for enterprise systems, hardware, and software.
Manage user onboarding and offboarding, ensuring new hires have the necessary technological access and equipment, and that departing employees' accounts are securely closed.
Develop and maintain comprehensive technology-focused training guides, standard operating procedures (SOPs), and internal support documentation.
Conduct training sessions and provide one-on-one support to ensure all employees are effectively utilizing our tools and adhering to established workflows.
System & Data Management:
Support data entry and maintain data integrity within our CRM systems (e.g., Recruiterflow), as our firm's data is a core business asset.
Assist internal stakeholders in identifying and implementing data integrity and reporting improvements.
Support the monitoring of systems, applications, and infrastructure to help detect and report performance issues.
Support the rollout of new tools and platforms, assisting with change management to ensure seamless adoption across the firm.
Vendor & Hardware Management:
Manage hardware inventory, including provisioning, maintenance, and troubleshooting for laptops, monitors, and other peripherals.
Assist in the evaluation and implementation of new technology solutions and external data sources that can streamline business operations.
Serve as a liaison with technology vendors, communicating regularly to track product updates, ensure system compatibility, and manage support requests.
Review and provide updates to the firm on new vendor product features and relevant industry changes.
Requirements for the Role
1-5 years of experience in a systems support, help desk, or operations role, preferably within the professional services industry.
Demonstrated experience supporting cloud-based productivity suites, such as G-Suite.
Strong problem-solving skills and the ability to troubleshoot a wide range of hardware, software, and network issues.
Excellent communication skills, both written and verbal, with the ability to explain technical concepts to non-technical users.
Experience with CRM or Applicant Tracking Systems (ATS) is a plus.
A strong commitment to customer service and a proactive approach to technology management.
