Summary of Job Duties:

The Access Coordinator II works under supervision to provide comprehensive support for patient care activities. This role involves greeting and assisting the public, answering phone calls, coordinating appointments, referrals, consultations, tests, and procedures. Responsibilities also include checking in and registering patients, checking them out, collecting payments, issuing receipts, verifying insurance coverage, and responding appropriately to the requirements of third-party payers. Additionally, the Access Coordinator II serves as the Call Center Operator, responsible for quickly answering and processing all incoming calls, and is expected to perform all duties associated with the Access Coordinator I position.

Qualifications:

Minimum Qualifications:

  • High school diploma/GED.
  • Two (2) years of customer service or healthcare experience.

Knowledge, Skills, & Abilities:

  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in patient registration and scheduling software.
  • Knowledge of insurance verification and billing processes.
  • Ability to work effectively in a team environment.
  • Attention to detail and accuracy in patient care activities.
  • Ability to follow oral instructions, read, and write.
  • Computer/basic keyboard skills.
  • Multiline telephone experience and etiquette skills.
  • Knowledge of office machines, including printers and scanners.
  • Excellent customer service skills.

Preferred Qualifications:

  • Registration experience is preferred.
  • Knowledge of basic medical terminology.


Additional Information:

Key Responsibilities:

Call Center Operator

  • Responsible for quickly answering and processing all calls.
  • Accurately assist and or place local or long-distance calls for patients, visitors, staff, and physicians. 
  • Act as liaison for outside Pharmacies/Home Health Nurses who need assistance with prescription clarification/refills and/or medical orders by notifying the nurse and/or provider, including fax number or explanation for electronic transmission of request.
  • Act as a liaison for all patient inquiries requesting confirmation of Clinic appointment dates/times.
  • Act as a liaison for all missed Automated Appointment Reminder calls that go out to all patients as a reminder for their upcoming appointment dates.
  • Act as a liaison and evaluate all complaints received at the main switchboard.

Patient registration of new and established patients:

  • Scanning importing of patient documents.
  • Coordinating all incoming and outgoing medical record requests

May perform other duties as assigned
