The Department of Consumer and Business Services (DCBS) is a progressive business regulatory state agency dedicated to the mission of protecting and serving Oregon's consumers and workers while supporting a positive business climate. The department administers state laws and rules governing workers' compensation, occupational safety and health, financial institutions, insurance companies and building codes. The department has consumer protection and education programs, offices, and ombuds to help consumers, injured workers, and businesses.
This position is with the Director's Office. The Director's Office provides DCBS with overall leadership. The director and deputy director provide general supervision over DCBS programs and divisions, as well as policy direction for the department. Included in the Director's Office are: Legislative Director, External Affairs Director, Organizational Culture & Employee Engagement Director, Internal Auditor, Office of Equity, Communications Services Section, Employee Services Section, Ombuds Office for Oregon Workers, and Small Business Ombudsman.

This position is eligible to telework on a part-time basis once the incumbent has gained the proficiency to perform work independently. However, regular, scheduled office hours are also required.
Here’s what you will do:
As the Executive Assistant to the Director and Deputy Director, you will coordinate and provide executive administrative and technical support to the Director and Deputy Director in the daily operations of the Director's Office. Your duties will include:
Coordinating and managing special projects and operational issues on behalf of the Director and Deputy Director
Attending department executive staff meetings
Providing a variety of administrative and clerical support to the Director’s Office staff and the Management-Labor Advisory Committee, some of which is confidential in nature
Assisting the Director and Deputy Director in the administration and coordination of communications internally and externally
Representing the Director/Deputy Director and Director's Office to state agencies, Governor's Office, legislature, public, special interest groups, and media

Here’s what you need to qualify:
Minimum Qualifications:
Four years of staff-level experience providing administrative support to management. The experience must include technical or analytical duties in the management of program goals and objectives; performing program or project planning; preparing, monitoring, or controlling budgets; or performing research and providing analytical information and/or recommendations used in management decision making.
Note: a bachelor's degree in Business Administration, Management, Public Administration or a closely-related field may be substituted for up to two years of the required experience.
Requested Skills:
Excellent organizational, prioritization, communication and time-management skills
Experience with billing, contracts, invoicing, and assisting in collecting signature and authorizations and proficiency in the full spectrum of Microsoft Office Suite
Ability to remain flexible and adaptable while interacting with multiple internal and external customers who may often have competing interests
Commitment to providing exceptional customer service while showing respect for the diverse customer base our agency serves
Significant experience coordinating internal and external communication and tracking legislation
Experience providing business support, including making travel arrangements and coordinating schedules

Additional information:
Per the Pay Equity Law passed in 2017, a pay equity analysis will be conducted to determine what pay step the successful candidate will be offered. The analysis will be based on the relevant experience, education, training, and certifications documented in the application materials. On average, candidates new to state service will most likely be offered compensation in the lower to mid-level of the salary range.
The salary range listed is the non-PERS eligible rate. If you’re already a participating PERS member or once you become PERS eligible after 6 months of employment, the salary range will increase by 6.95% and the required 6% employee retirement contribution will be deducted from your pay.
