The Role

We’re looking for an Office Manager to own and operate Legora’s New York office, ensuring it runs smoothly, efficiently, and in line with our culture of excellence, speed, and care. You will also be the first point of contact for everyone visiting the office, ranging from candidates to CEOs and law firm partners. You’ll be the primary on-site point of contact for all office-related needs in NYC, while reporting into our Operations team in Stockholm.

This is a hands-on operational role with wide responsibility: workspace setup, vendor and contract coordination, inventory and logistics, onboarding support, and day-to-day employee experience. You’ll keep the office running at a high standard, solve problems before anyone else notices them, and help establish scalable processes as our U.S. presence grows. As Legora grows rapidly in the U.S., you’ll play a critical role in supporting office moves, expansions into new states, and a continuous flow of new team members. We are currently moving into a 27,000-square-foot space at Union Square.

What You’ll Do

Office Operations & Facilities

  • Manage daily operations of the NYC office, ensuring the space is fully functional, safe, compliant, and welcoming.

  • Oversee building access, safety protocols, deliveries, equipment setup, meeting rooms, and space planning.

  • Maintain office inventory, supplies, furniture, and workspace standards.

  • Serve as the primary liaison with building management.

On-Site IT Operations Liaison

  • Act as the on-site IT operations liaison in partnership with our global IT/Security teams.

  • Coordinate and troubleshoot local IT needs (workstations, equipment, connectivity, conference room tech).

  • Manage device distribution for new hires and maintain local hardware inventory.

  • Support rollout of IT infrastructure improvements and security standards in NYC.

Vendor, Contract & Budget Management

  • Source, onboard, and manage local vendors and service providers (cleaning, maintenance, IT, supplies, etc.).

  • Track operational spending, process invoices, and monitor contract renewals.

  • Ensure all vendors meet service-level expectations and safety/compliance requirements.

Employee & Visitor Experience

  • Act as the first point of contact for visitors, using the reception area as your primary workstation.

  • Create a high-quality office environment that reflects Legora’s culture and values.

  • Support new hire onboarding, workspace setup, and office-related People/HR needs.

  • Coordinate in-office meetings, events, and hospitality requests.

  • Serve as the go-to person for all day-to-day employee needs.

US Expansion & Future Office Setups

  • Partner with Stockholm Operations to support planning and execution of new office openings in additional U.S. states.

  • Lead local logistics for site visits, buildouts, move-ins, and vendor sourcing in new markets.

  • Help document scalable processes for multi-office U.S. operations.

Process, Compliance & Continuous Improvement

  • Develop and maintain clear operational processes for the NYC office.

  • Identify opportunities to improve efficiency, reduce costs, and enhance employee experience.

  • Operate with independence while keeping global leadership aligned.

Who You Are

  • Collaborative — comfortable working across functions and time zones with a Stockholm-based HQ.

  • Independent — able to operate with minimal day-to-day oversight.

What We’re Looking For

  • 5–7+ years of experience in office management, operations, facilities, or similar roles (startup or fast-growth preferred).

  • Experience managing an office end-to-end and acting as the primary on-site operator.

  • Strong vendor management, logistics, and coordination skills.

  • Experience with basic IT troubleshooting and device setup.

  • Excellent communication skills and attention to detail.

  • Must be legally authorized to work in the United States.

  • Excitement about shaping the physical and operational foundation of Legora’s U.S. presence..
