Project Coordinator

Harbor is a leading provider of strategy, legal technology, operations, and intelligence services seeking a detail-oriented Project Coordinator to support the PMO and LT+O Practice Group. The Coordinator will provide core operational support—handling project setup, resource coordination, time entry compliance, invoice and financial admin, and PMO governance—to ensure smooth delivery and successful sales-to-service handoffs across a distributed, global team.

Skills

  • Familiarity with project management/PSA tools (e.g., Cloud Coach, Salesforce, Smartsheet, Excel)
  • Experience with time entry processes and invoice preparation/support
  • Strong organizational skills and attention to detail for project documentation and tracking
  • Good written and verbal communication for stakeholder follow-up and coordination
  • Ability to manage competing priorities and escalate issues appropriately
  • Basic financial/administrative aptitude for reviewing timesheets and supporting invoice reconciliation

Responsibilities

  • Coordinate initial resource assignments for Closed-Won opportunities and maintain project rosters throughout engagements.
  • Update and maintain project setup, templates, file structures, and access permissions in Cloud Coach and related tools.
  • Monitor and follow up on time entry compliance; prepare time data for forecasting and invoicing.
  • Review submitted time and supporting documentation prior to invoice generation; coordinate invoice routing and approvals with Finance and PMs.
  • Maintain project documentation (status reports, RAID logs, trackers, budget summaries) and support project closeout activities.
  • Track staffing changes, address conflicts and overallocations, and assist with forecast accuracy.
  • Support PMO governance by monitoring playbook adherence, tracking performance metrics, and maintaining a central knowledge base.

Education

  • Four-year degree preferred or equivalent combination of education and experience
  • 2+ years experience supporting project delivery in client-facing professional services
  • Resourcing or project management experience preferred
  • Familiarity with Cloud Coach and/or NetSuite is a plus
