Maintenance Specialist (Office Clerk)

Overview

The Maintenance Administrator assists the Maintenance Director in generating, organizing, and tracking financial, technical, safety and compliance information within the Maintenance Division. Assist with tracking of expenses and capital expenditures.

Assist with the collection of bids and tracking of purchase orders and invoices

Responsibilities

Maintains Divisional financial records, including expense budgets, capital budgets, expense reports, purchase orders, invoices, and timesheets. Assigns, responds and closes work orders once completed or as needed.

Maintains Divisional employee records.

Manages and facilitates Divisional correspondence and communication with other Divisions, outside agencies, vendors, and others.

Manages inter-departmental communication within the Division by scheduling meetings and managing schedules and calendars as required.

Provides guest service according to Company standards when serving the guest or working with subordinates, including initiating guest interactions, answering questions and giving directions.

Maintains cleanliness and safety in assigned work area and performs all duties in compliance with Company Safety guidelines and requirements and reports all unsafe or unusual conditions to supervision.

 

Responsible for directing or oversseeing other employees' daily work activities but is not responsible for undertaking or recommending the following employment actions: hiring, termination, corrective action and performance reviews.

Frequently communicates complex information and interacts with management. May train and monitor others' performances. Can present, resolve conflicts and address delicates situations. Can motivate and persuade others.

In-depth knowledge of concepts, practices and procedures with ability to use in varied situations.

Has frequent contact with others of workgroup, both inside and outside the company. Results have major implication on the management and operations of an area within a department.

Decisions may affect a work unit or area with a department. May contribute to business and operational decisions that affect the department

Problems are varied, requiring analysis or interpretation of the situation. Problems are solved using knowledge and skills, general precedents and practices

Assists in planning, monitoring, and/or managing budget in functional area of department.

 

Qualifications

Demonstrated knowledge of basic accounting principles and fundamental bookkeeping procedures.

Demonstrable ability to work with common accounting and office tools and software.

Specific knowledge of Microsoft Office products, specifically Microsoft Word, Excel, and Exchange.

Strong organizational skills.

Demonstrated ability to handle multiple projects at once.

Good interpersonal and communication skill. 

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference,

and volume. Ability to apply concepts of basic algebra and geometry.

Ability to read, write, speak and understand English at a level sufficient to follow written policies and procedures; complete a variety

of basic forms; and interact with guests including understanding and responding to specific questions
