Executive Assistant to the CEO

We are seeking an Executive Assistant to support The Atlantic's Chief Executive Officer in New York. In addition to being exceptionally organized and communicative, a masterful problem-solver, and a collaborative team player, writing and research experience is critical in this role.

This position reports into the Office of the CEO and works closely with the CEO, Nicholas Thompson, every day. It will also involve supporting other senior Atlantic executives in the New York office as needed.

You will:

  • Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, and help him prepare with synthesized information based on your thorough research.

  • Anticipate needs in advance of meetings, conferences, speaking engagements, and panels.

  • Work closely with the CEO’s Chief of Staff to act as a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.

  • Represent the CEO and The Atlantic brand with external parties via email communication, phone calls, and in-person engagements.

  • Manage schedules and spearhead travel arrangements (both domestic and international) for the CEO as well as select other senior executives in the New York office on occasion.

  • Coordinate team meetings: prepare agendas, facilitate pre-read documents, take notes, and actuate follow-up items.

  • Receive and handle confidential information, and maintain confidentiality of private and sensitive information.

  • Coordinate knowledge management by maintaining databases, shared drives, and Slack channels.

  • Handle assorted administrative responsibilities such as expense reconciliation, invoice processing, and miscellaneous tasks as needed for the CEO and other senior executives in the New York office.

  • Daily interaction across all levels and roles at The Atlantic, particularly among the business teams

  • Help manage the CEO’s online presence, including his social media feeds and newsletter.

You are:

  • Friendly yet direct, a self-starter, resourceful, and eager to deliver. You are passionate about organization, strategy, and efficiency.

  • An expert communicator, researcher, and writer.

  • Strategically minded; you are constantly thinking of creative solutions to improve workplace processes.

  • Detail-oriented in coordinating schedules, booking meetings, and tracking dates.

  • A problem-solver who is praised for attention to detail.

  • Action-oriented; you have no problem checking off items from your to-do list and are ready to help others when they need it, without being directed to do so. You have experience working on projects with little supervision.

  • An excellent written and oral communicator with extraordinary interpersonal skills.

Minimum Qualifications:

  • The conviction that high-quality journalism is fundamentally important—and the desire to help it thrive.

  • Experience prioritizing multiple projects.

  • A calm, cool, and collected mind—a constitution that affords “grace under fire”—coupled with a personality inclined toward perpetual positivity and kindness.

  • Ability to adapt and think quickly in an environment of change.

  • Experience with Google Apps, Microsoft Office, and Keynote.

Preferred Qualifications:

  • Bachelor's Degree

  • Industry experience in Publishing and/or Media

  • Prior work experience or general interest in social media (Twitter, LinkedIn, Facebook, Instagram, TikTok, etc.)

This role is based in New York City.
