Senior Executive Assistant / Operations Coordinator (Marketing)

Role Overview

We're hiring a proactive, senior EA/Operations Coordinator to be the founder’s right hand—owning communications, keeping projects on track across several marketing businesses, and jumping into hands-on deliverables (reports, decks, light PM). You’ll ensure nothing falls through the cracks, create clarity for the team and clients, and move work from 80% → shipped with minimal hand-holding.


Key Responsibilities

Executive support & communications

● Manage inbox and calendar; draft and send emails as self or on behalf of the founder per guidelines.

● Maintain tight response SLAs; create daily/weekly priority briefs and follow-up lists.

● Prepare meeting agendas, capture actions/decisions, and drive follow-through.


Project coordination (multi-venture)

● Build and maintain lightweight project plans (timelines, owners, checkpoints) across:

○ Performance marketing accounts

○ Outbound GTM initiatives

○ A SaaS implementation workstream

● Coordinate internal team and client communications; surface risks early and propose fixes.

● Create/update trackers, pipelines, and simple dashboards for status and results.


Marketing ops & deliverables

● Assemble reports and client-ready decks (slides, one-pagers, summaries).

● Support ad-hoc marketing tasks (pulling metrics, QA on campaigns/pages, asset wrangling).

● Document SOPs/templates to make recurring work faster and more consistent.


Rhythm & tooling

● Set a reliable operating cadence: weekly planning, mid-week checkpoints, EOW recap.

● Keep work organized in PM/knowledge tools; enforce naming conventions and task hygiene.



Qualifications
  • 5–7+ years in an Executive Assistant, Operations Coordinator, Project Manager, or Account/Client Success role within marketing, DTC/e-commerce, or SaaS.
  • Outstanding written and verbal English; confident in client-facing comms.
  • Proven ownership mindset: anticipates needs, asks sharp questions, and closes loops.
  • Tool-confident: Google Workspace, Slack, Sheets, and at least one PM tool
  • (Asana/Trello/ClickUp/Notion). Comfortable learning founder-preferred systems quickly.
  • Strong slides/reporting skills (Google Slides, PowerPoint, or Canva).
  • High integrity and discretion when handling sensitive information and accounts.


Nice to Have
  • Familiarity with performance marketing concepts/metrics (e.g., CAC/ROAS/CTR, simple dashboarding).
  • Experience coordinating outbound/GTM motions or basic CRM hygiene (HubSpot, Pipedrive, Salesforce).
  • Light data handling in Sheets (lookups, filters, pivots) and QA mindset.

  • Single source of truth for projects (board + weekly status) across businesses.
  • On-time delivery of reports/decks with minimal revisions; clients experience clear, timely updates.
  • Documented micro-SOPs and templates reduce recurring task time by 20–30%.
  • Founder spends measurably more time on high-value work; fewer “dropped balls.”


$800 - $1,100 a month
Location: Remote — strong overlap with US Eastern Time
Engagement: Prefer full-time (40 hrs/wk); open to part-time start if needed
