Project Accountant

We are seeking a detail-oriented and proactive Project Accountant (or Staff Accountant) to manage project-level accounting tasks. This role is pivotal in ensuring that all financial aspects of projects are accurately tracked and supported, including project setup, pay application preparation, vendor compliance documentation, and cost tracking. The successful candidate will provide critical financial support to project managers (PMs) while ensuring accuracy in project-specific financial processes. This position focuses solely on job-specific accounting and does not involve overhead, payroll, or customer deposits.

Location:
Fully-Remote (Work from Home), 9 AM - 5 PM EST

Key Responsibilities:

• Set up new projects in the accounting system and ensure that billing templates are correctly configured.

• Prepare full pay applications by gathering subcontractor invoices, percent completions, and backup documentation.

• Collaborate with PMs to validate billing accuracy and scope alignment.

• Collect and organize lien waivers (both conditional and unconditional) for each project.

• Track project-level Accounts Payable (AP) to ensure invoices align with commitments and that lien waivers are received. Work with vendors to resolve any discrepancies.

• Track vendor documentation (MSAs, W-9s, COIs) for all project-specific partners, and set up new vendors as needed.

• Submit pay applications to assigned clients/projects and follow up to ensure timely and complete submission. Provide revisions if necessary.

Qualifications:

• 2+ years of experience in project-level accounting or a similar role.

• Proficiency with QuickBooks, MJS, and Procore or similar project management tools.

• Strong understanding of lien waivers, pay applications, and vendor compliance documentation.

• Familiarity with vendor documentation requirements (MSAs, W-9s, COIs).

• Excellent attention to detail and organizational skills.

• Strong verbal and written communication skills, with the ability to liaise effectively with PMs and vendors.

• Ability to manage multiple deadlines and prioritize tasks in a fast-paced environment.
