About This Role
Serve as the primary point of contact for office visitors, employees, and interview candidates, maintaining a professional and welcoming environment
Coordinate with customers, technicians, and installation teams to provide project updates, schedule measurements, and maintain ongoing communication
Manage office logistics, including ordering supplies, organizing mail, and ensuring common areas remain clean and functional. Create, scan, and maintain accurate customer files within company systems
Audit job contracts, permits, and HOA approvals to ensure compliance and completion before job scheduling
Prepare and distribute lien releases and contractor affidavits
Field customer service calls and emails, ensuring timely follow-up and issue resolution
Support new hire onboarding by collecting day-one documentation and preparing necessary resources
Participate in Accounts Receivables meetings to help manage timelines, monitor outstanding balances, and contribute to AR goals

Days and hours of work are Monday through Friday, 8:00 AM to 5:00 PM. A 1-hour lunch break is mandatory, and must be taken each day, unless otherwise agreed upon with management
Key Qualifications
Minimum of 2 years of administrative experience in home improvement, health, insurance, banking and finance, or sales industry preferred
Bilingual in English and Spanish required, with strong verbal and written communication skills in both languages
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Highly organized with strong attention to detail and a commitment to accuracy
Excellent interpersonal skills with the ability to communicate professionally across teams and with external partners
Proven ability to manage multiple priorities, meet deadlines, and adapt in a fast-paced environment
