Key Responsibilities
Executive & Business Support
• Provide direct, high level, executive assistance to the CEO, managing an intricate and ever-changing calendar with precision and foresight.
• Coordinate meetings, calls, and events with internal leaders, high-profile clients, and global partners.
• Manage daily correspondence and communications — drafting, editing, and organizing materials with professionalism and impeccable attention to detail.
• Anticipate needs proactively, ensuring the CEO is always prepared for meetings, travel, and strategic initiatives.
• Serve as a trusted liaison between the CEO and executive team, upholding the brand’s standard of discretion, integrity, and polish.
Operational & Organizational Excellence
• Partner closely with internal departments and leadership to ensure alignment on priorities, timelines, and deliverables.
• Oversee follow-up and accountability on key business initiatives.
• Maintain structure across workflows, communications, and digital organization systems.
• Handle confidential documents and sensitive information with absolute discretion.
Personal Support
• Manage personal calendar, travel logistics, reservations, and household or lifestyle-related tasks as needed.
• Assist with personal correspondence, gifting, events, and philanthropic engagements.
• Represent the CEO’s brand and standards in all external interactions, ensuring consistency, grace, and professionalism.
Qualifications
• Minimum 5+ years of experience supporting a C-suite executive or principal within a luxury, corporate, or high-profile environment.
• Proven track record of managing complex calendars, travel, and logistics across multiple time zones.
• Exceptional attention to detail and ability to handle both professional and personal responsibilities with discretion.
• Strong proficiency in modern communication and organizational tools (Google Workspace, Microsoft 365, Monday.com, etc.).
• Availability for flexible hours and occasional travel.
• Bachelor’s degree preferred.
• Professional presentation and demeanor consistent with the ONE Sotheby’s brand.
