Receptionist / Administrative Assistant

What this job involves: This position provides front-line reception and administrative support services, reporting to the Facility Manager. You'll serve as the primary point of contact for visitors and support various operational functions while working with diverse internal and external stakeholders at all levels of the organization. This role requires independent judgment to plan, prioritize, and organize a varied workload while maintaining high standards of security and customer service.

What your day-to-day will look like:

  • Greet and direct all visitors, providing necessary orientation to visitors, employees, and contractors
  • Manage visitor registration through the Visitor Watch System for all guests, contractors, vendors, and employees without badges
  • Monitor security systems including cameras, radios, and access card tracking software
  • Coordinate check-in/check-out of hard keys and temporary access cards from the reception desk
  • Ensure all site visitors are properly escorted by appropriate BMS contacts or representatives
  • Provide administrative support services to the client office as needed
  • Maintain detailed records and documentation of all visitor activity
  • Support facility operations and respond to various requests from stakeholders

Required Qualifications:

  • High school diploma or equivalent
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Ability to work independently and exercise sound judgment
  • Professional demeanor and customer service orientation
  • Basic computer skills and familiarity with security systems
  • Team player attitude with ability to work collaboratively

Preferred Qualifications:

  • Previous receptionist or administrative assistant experience
  • Experience with visitor management systems
  • Familiarity with commercial real estate or facility management environments
  • Knowledge of security protocols and procedures

Work Schedule:

  • Days: Monday through Friday
  • Shift: Day shift
  • Hours: 7:00 AM - 3:00 PM
