HIM Operations Lead

Job Description:

Leads and coordinates day-to-day oversight of HIM care site operations workflow, such as document retrieval, Health Record Analysis and Audits. Validates and ensures compliance with company policies and procedures, medical bylaws, and clinical rules, Federal (HIPAA) and state regulatory requirements. The HIM Operations Lead is the knowledge expert for chart retrieval, PHI/PII protection, and file storage management, in addition to acting as the formal resource for all staff.


  • Coordinates day-to-day workflow functions, providing hands on support, serving as a resource to staff, and providing coverage in the retrieval and management of medical records
  • Oversees individual team members” workflow workload/assignments and performance. 
  • Collaborates with management to identify and drive quality and performance improvement initiatives.
  • Performs qualitative and quantitative audits for compliance with regulatory requirements.
  • Assigns and monitors progress of tasks and projects. Sets work priorities. Delivers feedback regarding work performance.
  • Ensure compliance with guidelines/requirements related to patient confidentiality and release of information according to established policies, procedures and regulatory requirements including the 21st Century Cures Act (Information Blocking), and the Health Information Portability Accountability Act (HIPAA), Joint Commission, CMS, and OCR.
  • Reports on results of all chart retrieval projects with specificity and is responsible for meeting goals and KPIs.
  • Responsible for obtaining approval for all chart retrieval related charges and the timely submission of all vendors’/copy services’ invoices to Manager for payment.
  • Communicate directly with Providers and Clinic staff to obtain medical records while minimizing abrasion
  • Performs other duties as assigned.

Essential Functions

  •  Electronic Medical Records, Release of Information, customer service skills, computer skills. 
  • Detail oriented with critical thinking skills.
  • Ability to perform job function and make decisions without direct supervision.
  • Proficient in organizational skills and time management.

Skills

  •  Advanced knowledge of medical terminology.
  •  Ability to navigate through EMR / Content Management systems such as Cerner, EPIC, eClinical works, Allscripts, etc.
  • Must be able to demonstrate proven problem solving, analytical thinking and customer service.
  • Verbal and written communication skills.

Qualifications

  •  High School Diploma or Equivalent required
  • Preferred- Registered Health Information Technologist (RHIT) or Registered Health Information Administrator (RHIA)
  • Preferred -Two years’ experience in a healthcare setting

  •  Hearing/listening/ phone and email access, sitting

The hourly range for this position is listed below. Actual hourly rate dependent upon experience. 

$19.97 - $30.21
