Responsibilities:
- Answer inbound calls and online inquiries, providing a professional first impression.
- Guide prospective clients through intake forms, ensuring all required information is collected.
- Schedule consultations and manage the firm’s calendar.
- Accurately record case details in the case-management system.
- Set up case files for smooth transition to attorneys, ensuring documents and data are complete and organized.
- Prepare intake reports and follow up with potential clients to collect missing documents.
- Draft correspondence and assist with general office support as needed.
Qualifications:
- Bachelor’s degree required (business, communications, or related field preferred).
- 1–3 years of client-facing or administrative experience preferred, ideally in a law firm or professional services.
- Excellent verbal and written communication skills; professional phone presence; bilingual (Spanish/English) a plus.
- Strong organizational and multitasking ability with close attention to detail.
- Proficiency with Microsoft Office and ability to learn new software quickly.
- Dependable, ethical, and able to maintain strict confidentiality.
