Qualitative Research Operations & Coordination VA (AI-savvy)
Role Overview
Fast-growing qualitative research firm seeks a reliable, detail-obsessed VA to run the logistics behind consumer interviews and immersions. You’ll handle recruiting coordination, respondent communications, scheduling, consent collection, and materials handling, while keeping every quota and spreadsheet spot-on.
We are tech-forward: you should learn new tools quickly and use AI (e.g., ChatGPT) to draft respondent messages, checklists and templates. Stakes are high—small errors can be costly, so responsiveness and follow-through are non-negotiable.
Key Responsibilities Recruiting & Scheduling
● Post study listings on designated recruiting platforms per brief.
● Screen applicants against quotas/criteria; track quota fills in Sheets.
● Coordinate Zoom interviews (create links, calendar invites, reminders, reschedules).
● Answer respondent questions clearly and promptly; provide directions and prep. Compliance & Materials
● Send/collect consent forms; ensure correct versions and complete signatures.
● Distribute prep materials; collect deliverables; maintain version control. Data Hygiene & Reporting
● Keep meticulous records: pipelines, quotas, dispositions, incentives status.
● Maintain organized Drive/Docs/Sheets; follow naming conventions/SOPs.
● Produce quick status snapshots (what’s filled / outstanding / risks) for the team. AI-Assisted Ops
● Use ChatGPT to draft/respondent scripts, confirmations, FAQs, and checklists.
● Create templates/macros where helpful to speed repetitive communications. General Ops ● Adopt new platforms quickly; document steps as SOPs improve.
● Communicate blockers early; deliver exactly what you commit to, on time.
MUST-HAVES
● 3+ years in operations coordination, research ops, EA/PMO or similar high-detail roles.
● Fluent English; crisp written comms for respondent messaging.
● Google Workspace: Docs/Sheets power user; comfortable with filters, data validation, conditional formatting, basic formulas.
● Zoom & Calendar proficiency (links, waiting rooms, multi-party scheduling).
● 3+ years in AI proficiency (ChatGPT) for drafting messages/templates and accelerating routine tasks.
● Tech learner: proven ability to onboard new platforms fast and follow evolving SOPs.
● Reliability & responsiveness: proactive updates; zero missed promises.
● Ability to work U.S. Eastern hours consistently; stable internet and professional setup.
- Experience in market/UX research ops (screeners, quotas, incentives, NDAs/consent).
- Familiarity with recruiting platforms, e-signature tools, CRMs, or ticketing (e.g., Typeform, SurveyMonkey, DocuSign, Airtable, Notion/Asana/Trello).
- Light data QA or dashboarding (lookups, pivots) for quota tracking.
- Prior work coordinating multi-city fieldwork or in-home sessions.
- Candidates may use multiple AI platforms (ChatGPT, Gemini, Perplexity, etc.), not just ChatGPT.
- Candidates don’t need prior experience with all platforms but should be able to learn new AI tools quickly.
- The ideal hire should be eager to improve processes and share recommendations.
- Candidate should be the type who asks questions when unsure, since small errors can be costly.
