Job Description

AECOM is seeking an Environmental Documentation & Compliance Coordinator to be based in New York, NY. 

Position Overview:

We are seeking a detail-oriented and proactive Documentation & Compliance Coordinator to support regulatory compliance and documentation management across multiple housing projects. This role requires working with the AECOM Program Management Team, New York City Housing Authority (NYCHA), and the Housing Preservation Development (HPD) to enforce standards, facilitate vendor communication, and maintain accurate records in systems such as SharePoint and Maximo.

Key Responsibilities:

  • Develop and communicate Standard Operating Procedures and technical guidelines in compliance with NYCHA and HPD regulatory standards to communicate with internal staff and external partners to clarify submission requirements, address missing materials, or resolve discrepancies.  
  • Organize and maintain SOPs, business processes, system requirements, and technical guidelines for multiple projects in SharePoint, ensuring documentation completeness, accessibility and readiness for submission including workflows as submitted to HPD and external partners, maintaining updated tracking logs using Excel and SharePoint. 
  • Review environmental reports and related documentation to ensure compliance with internal standards.
  • Support quality control of documentation prior to submission, ensuring accuracy and adherence to regulatory standards.
  • Maintain clear records of submissions, timelines, and outcomes to ensure accountability and compliance.
  • Perform accurate and consistent data entry within the asset management systems.
  • Prepare summary reports and presentations on exemption statuses, timelines, or outstanding items, as requested by management or project leads, using Excel for data analysis and reporting.

Qualifications

Minimum Requirements:

  • BA/BS plus 2 years of relevant experience or demonstrated equivalency of experience and/or education.

Preferred Requirements:

  • Bachelor’s degree required, preferably in Environmental Science, Urban Planning, Public Administration, or a related field.
  • Strong attention to detail, organizational abilities and communication skills
  • Proficiency in Microsoft Office, SharePoint, Excel, and Maximo with strong skills in Excel for tracking, reporting, and data management.
  • Familiarity with SharePoint, Microsoft Teams, or similar document management platforms for file organization and workflow management.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks simultaneously in a deadline-driven environment.
  • Prior experience in document processing, administrative support, or working with technical documentation (such as environmental reports) is preferred but not required.
