About Us

Our organization is driving a transformative AI strategy to revolutionize our operations and deliver innovative solutions. The AI Transformation Office is seeking a dedicated professional to join our AI execution team, supporting the delivery of cutting-edge AI projects and initiatives that align with our strategic goals.

This position will offer flexibility for hybrid work schedules to include both in-office presence and telecommute/virtual work, to be based in either Houston or Dallas, TX.

Role Overview

The AI Project Coordinator will work directly under the Director of AI Execution to manage administrative aspects of AI projects and lead smaller AI initiatives. This role is critical to ensuring smooth project execution, effective coordination, and successful delivery of AI solutions. The ideal candidate is organized, proactive, and passionate about AI-driven innovation.

Key Responsibilities

  • Project Administration and Coordination:
    • Support the Director of AI Execution by managing project schedules, timelines, and deliverables for AI initiatives.
    • Coordinate meetings, prepare agendas, document minutes, and track action items to ensure project milestones are met.
    • Maintain project documentation, including plans, status reports, and risk logs, to ensure transparency and alignment.
  • Manage Smaller AI Initiatives:
    • Lead the execution of smaller-scale AI projects, including scoping, resource allocation, and stakeholder communication.
    • Collaborate with cross-functional teams to implement AI solutions, ensuring alignment with project objectives and organizational goals.
  • Resource and Vendor Management:
    • Assist in coordinating resources, tools, and external vendors to support AI project execution.
    • Track budgets and expenditures for assigned projects, ensuring cost-effective delivery.
  • Stakeholder Communication:
    • Act as a liaison between the AI execution team, other departments, and external partners to facilitate collaboration and information flow.
    • Provide regular updates to the Director of AI Execution and other stakeholders on project progress and challenges.
  • Process Improvement:
    • Identify opportunities to streamline administrative processes and improve project management workflows for the AI execution team.
    • Support the adoption of tools and methodologies to enhance project efficiency and outcomes.

Qualifications

Minimum Requirements

  • Bachelor’s degree in Business Administration, Project Management, Computer Science, or a related field plus at least 4 years of experience in project coordination, program management, or administrative support, preferably in technology or AI-related projects, or demonstrated equivalency of experience and/or education.
  • Experience managing small-scale projects or initiatives, ideally in a technical or innovation-driven environment.
  • Strong organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
  • Proficiency in project management tools (e.g., Jira, Trello, Asana, or Microsoft Project) and Microsoft Office Suite.
  • Analytical mindset with attention to detail and problem-solving abilities.
  • Ability to work independently and collaboratively within a team.
  • Comfortable managing ambiguity and navigating complex projects.

Preferred Qualifications

  • Certification in project management (e.g., PMP, Agile, or CAPM) is a plus.
  • Familiarity with AI concepts and technologies is highly desirable.
  • Excellent communication skills, both written and verbal, with the ability to engage diverse stakeholders.
  • Proactive, adaptable, and eager to learn about AI and its applications.
  • Passionate about contributing to AI-driven transformation.
