About the Role

We’re hiring an Operations Coordinator to support the day today execution of key internal programs at TwelveLabs. You’ll help drive forward initiatives that touch nearly every part of the company - from event logistics and internal planning to contractor management and compliance documentation.

This is a role for someone who brings organization, clarity, and energy to everything they touch. You get excited about solving operational puzzles, keeping people on track, and turning chaos into calm.

You’ll work cross-functionally across the organization to help TwelveLabs stay efficient, compliant, and well-connected as we scale globally. This is a great fit for someone early in their career looking to grow within a high-performing, collaborative operations team.

What You’ll Do

  • Help coordinate planning processes, recurring team meetings, and company-wide communication cadences

  • Support logistics and execution for internal and external events, including offsites, summits, and customer activations

  • Collaborate across teams to ensure programs stay on track

  • Provide operational support across internal teams by tracking documentation and maintaining templates related to contractor management, internal policies, and compliance frameworks

  • Partner with stakeholders on maintaining documentation for audit-readiness and internal accountability (e.g., SOC2, ISO, GDPR)

  • Assist with vendor coordination, procurement, and travel logistics for team events and group programs

  • Support internal brand programs such as employee swag, welcome kits, and event giveaways

  • Contribute to a strong team culture through clear communication, proactive follow-through, and a collaborative mindset

  • Perform administrative tasks related to the responsibilities above as needed

You may be a good fit if you have:

  • 1–2 years of experience in operations, admin coordination, event planning, or wearing lots of hats at a fast-moving company

  • A highly organized, detail-obsessed working style - you’re the person others rely on to “just get it done”

  • Great communication instincts: you’re quick, clear, and collaborative, no matter what time zone your teammates are in

  • A scrappy, solution-oriented mindset - you don’t wait to be told, you ask questions and take the first pass

  • Comfort with tools like Google Workspace, Slack, and Notion with curiosity to figure out whatever comes next

  • You’ve helped pull off a team offsite, investor event, or multi-time-zone launch without breaking a sweat

  • You’ve dabbled in things like compliance docs, vendor coordination, or internal policy tracking

  • You’ve booked travel or managed budgets through tools like Navan or Ramp

Location

We welcome applicants from anywhere in the U.S., but we have a strong preference for those based in or near San Francisco, Los Angeles, or New York City for occasional in-person support.
