POSITION SCOPE: This position administers and performs the job cost accounting functions for multiple construction jobs in process concurrently. This position is responsible for supporting the project manager in managing the financial performance of the project with direct knowledge of job costs to date and subcontractor and vendor commitments to accurately project costs at completion. 


ESSENTIAL DUTIES:

  • Manage, oversee and process subcontractor contracts and billings, vendor invoices and general condition costs. 
  • Working collaboratively with the project engineer and/or others assigned to the job, to properly set up job commitments for contracts and purchase orders signed. 
  • Working with the Project Team, review and process subcontractor change order requests in a timely fashion. When appropriate, write commitment change orders. Manage total contract amounts, completed to date amounts and balance to complete values for each subcontractor and vendor on the project. 
  • Review subcontracts for familiarity with terms and ensure compliance the financial aspects of billing, change order processing, etc. With the assistance of the project superintendent, review billings to date against actual job performance to ensure propriety of current period billings.  
  • Obtain supporting documentation such as W-9s, current certificates of insurance, payment & performance bonds, and lien waivers related to each subcontractor to ensure timely invoice processing
  • Process miscellaneous vendor invoices related to the jobs overseen.
  • Understand the budgeted costs and underlying assumption for general conditions project costs and be able to project them to completion based on an understanding of the nature of the costs and the project schedule. 
  • Forward subcontractor invoices to controller where sales tax had not been charged to facilitate preparation and monthly sales and use tax returns.
  • Manage, oversee and process monthly owner invoices, contract billings, and change orders. This responsibility involves:
  • Drafting owner billings each month and obtaining any and all supporting documentation required by the owner to support current costs incurred.
  • This position will be instrumental in helping the project team achieve timely billing goals 100% of the time. 
  • Submit to owner Potential Change Orders (PCO’s) and when approved, submit corresponding Prime Commitment Change Orders (PCCO’s) for final approval. 
  • Provide assistance and support to the project manager in estimating costs at completion monthly as part of the project budget analysis process.
  • This responsibility involves having a thorough understanding of the project budget including cost codes and cost types, and how these relate to subcontract commitments and direct costs 
  • Reviewing and presenting to project manager estimated costs at completion for all subcontractor, vendor and general conditions costs. 
  • Analyzing and preparing explanations of variances to budget and variances against the prior month projection. 
  • This position also involves working to collect required payroll documentation, if the job has certified payroll requirements
  • Overseeing and managing the job cost certification process, if required for the project. 
  • Being a part of the team responsible for the successful completion of the project adhering to Southway’s key values of quality, dependability and integrity. 
  • Responding to inquiries from internal stakeholders and external auditors, including researching responses, preparing analyses and providing supporting documentation as required
  • Assist with the update and maintenance of department policies and procedures and bring forward recommendations for improvements to simplify and/or automate existing processes. 
  • Potential travel to local job sites for participation in team meetings and discussions. 

KEY RESULT AREAS & ACCOUNTABILITIES:

  • Responsible for the timely processing of monthly owner invoices on time 100% of the time. 
  • Responsible for the timely processing of subcontractor invoices each month.
  • Responsible for the proper presentation of subcontractor committed costs for each monthly billing and project budget analysis. 

Requirements

PREREQUISITE KNOWLEDGE, SKILLS, AND ABILITIES: 

  • At least 5+ years of applicable job cost accounting experience. 
  • Bachelor’s Degree in Accounting is preferred; however, years of experience in this specific area will be viewed as an alternative qualification. 
  • Experience with construction management software required with specific experience using Procore and Sage/timberline a plus. 
  • High level of proficiency in understanding construction contract documents, cost projection methods and be well versed in AIA documents. 
  • Proficient in Microsoft Office Suite
  • Strong attention to detail.
  • Excellent proofreading skills.
  • Excellent oral and written communication skills.
  • Ability to address conflict in a timely and professional manner.
  • Ability to multi-task and prioritize responsibilities in a fast-paced environment.
  • Drive to make proactive decisions.
  • Thrives in a team environment.
  • Able to process new information and complex topics quickly.


PHYSICAL AND MENTAL REQUIREMENTS: 

  • Ability to function in high-pressure situations.
  • Manual dexterity to operate a computer.
  • Correctable vision and hearing.
  • Excellent interpersonal skills.
  • Clear, easy to understand oral communication ability.
  • Ability to lift 50 pounds for moving equipment on and off shelves.
  • Ability to sit, stand, and walk for prolonged periods.
  • Must be able to traverse and inspect all areas of jobsite in all types of weather; this may include walking, climbing, reaching, bending, crawling, or stretching.
  • May require travel.
  • Exposure to characteristic construction site dangers.


COMPENSATION AND BENEFITS:

  • Annual salary range: $95,000 - $130,000 based on qualifications and experience.

  • This position may be eligible for a discretionary bonus and auto allowance.
