Marketing Operations Coordinator

Hello, we’re Instrumentl.

We’re a mission-driven startup helping the nonprofit sector to drive impact, and we’re well on our way to becoming the #1 most-loved grant discovery and management tool. To help us get there, we’re hiring an intellectually curious Marketing Operations Coordinator to deliver effective marketing campaigns and support event execution, engaging thousands of grant professionals every year.

Are you an early-career marketing professional seeking hands-on experience at a hypergrowth startup? Do you love solving problems, moving fast, and running your own experiments?

If so, we have the perfect opportunity for you.

About us:

Instrumentl is a hypergrowth YC-backed startup with over 5,000 nonprofit clients, from local homeless shelters to larger organizations like the San Diego Zoo and the University of Alaska. We are building the future of fundraising automation, helping nonprofits to discover, track, and manage grants efficiently through our SaaS platform.

Our charts are dramatically up-and-to-the-right 📈 — we’re cash flow positive and doubling year-over-year, with customers who love us (NPS is 65+ and Ellis PMF survey is 60+). Join us on this rocket ship!

About the role:

As a Marketing Operations Coordinator at Instrumentl, you’ll be the engine that keeps our marketing and events running smoothly. You’ll support event execution, marketing campaigns, and backend operations that help us cement Instrumentl's reputation as a leading resource in the grants management space.

Instrumentl is growing quickly, and this role is a great opportunity for an early-career marketer who wants to learn how a high-performing Growth team operates. You’ll get hands-on experience across campaigns, systems, and analytics — and see the direct impact of your work from week to week.

You’ll work closely with the Growth & Marketing team, and we'll offer you the autonomy to pitch ideas, test new channels, and own projects that improve how we attract and engage our audience. Our ideal colleague is someone who thinks strategically, thrives in collaborative environments, and takes every opportunity to improve existing processes.

Get to know us at instrumentl.com/about! We can’t wait to meet you.

The Instrumentl team is fully distributed (though if you’d like to work from our Oakland office, we would love to see you there). For this position, we are looking for someone who has significant overlap with Pacific Time Zone working hours.

What you'll get to do:
  • Manage logistics for virtual and in-person events, from registrations and email campaigns to post-event reporting, team travel, and supply shipments.
  • Design, launch, and test event marketing campaigns (email sequences, social promotion, media partner coordination) to grow our event audience.
  • Propose new marketing experiments and channels to expand Instrumentl's reach and engagement among nonprofit professionals.
  • Own performance tracking, building and refining dashboards that show what’s working, sharing insights with the team, and recommending optimizations.
  • Collaborate with Growth and Sales to maintain clean CRM data, accurate lead routing, and timely follow-up.
  • Partner across teams (Content, Product Marketing, Sales) to support broader marketing initiatives, including webinar prep, landing-page setup, documentation, and process improvement.

What we're looking for:
  • 1–3+ years of work experience: you've held previous roles in marketing, operations, events, or program management at a B2B SaaS company.
  • Quick, reliable execution: you thrive in a fast-paced environment and move projects across the finish line daily.
  • Experimentation: you’re curious, test ideas often, and iterate quickly to improve results and discover what resonates with grant professionals.
  • Resourcefulness: you conduct research proactively and figure out solutions to new problems, given general direction and guidance.
  • Strong sense of ownership: you thrive when given autonomy, anticipate needs, and take full accountability for outcomes.
  • Organizational skills: you're thorough, detail-oriented, and able to juggle multiple projects at once.
  • Data-driven approach: you spot trends quickly, and are highly comfortable with tracking metrics and reporting on impact.
  • Friendly demeanor: You're approachable and collaborative, and thrive in a team environment.
  • Growth mindset: you’re a self-motivated learner, and you welcome the chance to exchange constructive feedback with colleagues.
  • Passion: you’re excited about Instrumentl’s mission to propel nonprofits into a bigger, brighter future!

  • Bonus: you have previous experience managing or supporting event promotion campaigns.
  • Bonus: you've worked at a startup or in a fast-paced, high-ownership environment.

Compensation and Benefits:
  • Salary ranges are based on market data, relative to our size, industry, and stage of growth. Salary is one part of total compensation, which also includes equity, perks, and competitive benefits.
  • For US-based candidates, our target salary band is $65,000 - $80,000/year + equity. Salary decisions will be based on multiple factors including geographic location, qualifications for the role, skillset, proficiency, and experience level.
  • 100% covered health, dental, and vision insurance for employees, 50% for dependents
  • Generous PTO policy, including parental leave
  • 401(k)
  • Company laptop + stipend to set up your home workstation
  • Company retreats for in-person time with your colleagues
  • Work with awesome nonprofits around the US. We partner with incredible organizations doing meaningful work, and you get to help power their success.
