Job Description

Job Summary:

Reporting to the Senior Director for Undergraduate Education, the Undergraduate Engineering Program Manager is responsible for administration of the undergraduate engineering degrees in the Harvard John A. Paulson School of Engineering and Applied Sciences (SEAS), including all Bachelor of Arts and Bachelor of Science programs; serving as the first point of contact to advise pre-concentrators interested in the engineering programs in SEAS; supporting the academic policy work of the Undergraduate Engineering Committee; and overseeing and executing  the ABET accreditation process for Bachelor of Science programs in SEAS.


Job-Specific Responsibilities:

  • Pre-concentrator advising. Plan and oversee SEAS pre-concentrator advising events for all undergraduate programs, in coordination with the College’s Academic Programs Office and first-year advising schedule. Serve as the first point of contact for Harvard College students interested in joining the undergraduate engineering programs, including representing the engineering programs at advising events for pre-concentrators, hosting office hours, answering emails, and updating advising documentation. Administratively oversee the concentration declaration process for engineering programs, and process concentration declarations approved by program faculty. Provide curriculum content expertise and resources for engineering faculty advisors who have specific questions on requirements or policies.
  • Academic administration. In coordination with the engineering faculty directors of undergraduate studies (DUS) and a team of undergraduate engineering programs advisors (ADUS), assign faculty advisors, track degree progress in the my.harvard Academic Advising Report (AAR), coordinate the course petitions process, execute course exception requests in the AAR, submit recommendations for graduations to the FAS Registrar, annually update degree requirements in the College Handbook and my.harvard AAR system, and collect grades from faculty for the ES 91r Supervised Reading and Research course.
  • Curricular oversight. Work with faculty to track curricular updates, ensure compliance with all relevant guidance and policies, including ABET accreditation policies. Serve as subject matter expert on academic policy related to undergraduate concentrations for faculty. Prepare materials and attend and participate in faculty committee meetings regarding conferring of degrees.
  • Educational committee administration. Administratively lead the Undergraduate Engineering Committee (UEC), working with the Engineering Sciences Director of Undergraduate Studies (DUS) and the engineering ADUS team to set the agenda for the committee, prepare materials, interpret and develop curricular policies, and lead UEC meetings.  
  • Accreditation administration. Responsible for oversight and execution of the annual ABET continuous improvement process, as well as the 6-year ABET accreditation review cycle.  This includes working closely with the UEC to collect summative assessment data annually from the capstone course, formative assessment data every other year across the curriculum, ensure compliance with all ABET criteria, co-author the self-study report, and prepare for the accreditation visit. 
  • Staff Management. Manages one direct report within the Office of Academic Programs supporting undergraduate degree programs and course administration.


Working Conditions:

Work is performed primarily in an office environment.


Physical Requirements:

Ability to travel back and forth from Allston to Cambridge campuses.

Qualifications

Basic Qualifications:

  • Bachelor’s or advanced degree in engineering or a closely related field. 
  • A minimum of 5 years of relevant work experience. 


Additional Qualifications and Skills:

  • Advanced degree in engineering or a related field strongly preferred.
  • Strong interpersonal, verbal and written communication, and organizational skills required.
  • Ability to work independently and to effectively engage a diverse group of constituents including faculty, students, staff, and external stakeholders. 
  • Ability to manage multiple diverse tasks and projects in a deadline driven environment.
  • Ability to collect and analyze academic data for curricular assessment.
  • Self-initiative, confidence, adaptability, and good judgment are essential. Ability to manage multiple diverse tasks and projects in a deadline driven environment.
  • Strong proficiency in use of MS office software, including Word, Excel, Access, and Outlook with an emphasis on experience managing, extracting, organizing, and analyzing database information. Ability to quickly learn and adapt to new and emerging office technologies, systems, and electronic tools.

Additional Information

  • Standard Hours/Schedule: 35 hours per week..This full-time position will require 3 or more on-campus workdays each week. The primary work location is on our Allston, MA campus. This position may also work on our Cambridge campus on an as-needed/as-appropriate basis. Some events require staff to work on campus for specific days each semester

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
