About the Role
At the center of the firm’s daily operations, the Firm Administrator ensures that our people, processes, and culture work in unison to achieve excellence. The Firm Administrator is responsible for the operational efficiency of the headquarters office and the oversight of all non-attorney staff. In this capacity, you will serve as both a strategic leader and a hands-on manager, ensuring that daily operations align with the firm’s standards of excellence. You will set and uphold expectations for performance, professionalism, and accountability, while fostering a culture that reflects the firm’s values and long-term objectives.
This role requires clarity, order, and foresight. You will be entrusted with establishing structure in complex environments, anticipating challenges before they arise, and implementing solutions that strengthen the organization. As the cultural standard-bearer for non-attorney staff, you will drive engagement, consistency, and collaboration, ensuring the firm’s people and processes operate at their highest potential.
Responsibilities
Hold accountability for the performance and operations of all non-attorney staff, setting clear expectations and ensuring consistency across teams
Oversee and evaluate day-to-day operations to maintain efficiency and alignment with firm standards
Manage and develop a team of Lead Litigation Paralegals, providing guidance, accountability, and alignment with firm priorities
Direct staffing assignments for non-attorney personnel, ensuring appropriate alignment of paralegal support with attorney and partner group needs
Work cross-functionally with finance leadership to review and interpret financial reports, including P&L statements, and provide informed insights to support firm goals
Manage key firm systems, ensuring accurate data capture, reporting, and integration across departments
Analyze data and translate it into actionable insights that inform operational decisions and long-term strategy
Collaborate with people leadership to establish strong talent acquisition and people practices, supporting the recruitment, development, and retention of high-performing staff
Build and maintain vendor relationships that support operational and strategic priorities
Present operational strategy recommendations to the partners based on research, analysis, and firm performance data
Oversee and implement firm projects as assigned by the partners, ensuring timely execution and successful outcomes
Champion the firm’s culture by upholding its values and ensuring accountability is maintained in a respectful, professional, and forward-looking manner
Qualifications
Minimum of 3–5 years of prior firm administration or law firm operations management experience
MBA or advanced business/management degree preferred
Prior experience as a paralegal highly preferred, with a demonstrated understanding of the responsibilities, workflows, and challenges of non-attorney legal staff
Proven leadership ability with experience managing teams, setting expectations, and holding individuals accountable
Impeccable communication skills and professionalism, serving as an example for staff at all levels
Strong collaboration skills, with the ability to partner effectively across departments and with firm leadership
Demonstrated ability to create and foster a positive, high-performing culture
Substantial operational experience, including oversight of systems, processes, and cross-functional projects
Ability to interpret financial data, including P&L statements, and apply insights to operational decision-making
Presence that embodies and upholds the firm’s values in all interactions and decisions
