Job Summary

Under general supervision, assists in supervising routine duties related to patient meal and snack ordering. Provides exceptional customer service while processing patient meal orders. Confidentially and accurately handles all patient and diet information to ensure that patients receive food according to their diet order and food allergies. Perform a variety of clerical duties: handles phones, uses computer system to process menus and diet information. Assists with AIDET audits, service recovery, patient meal rounding, tray assessments and other quality assurance tasks are required

Essential Functions:

  • Organizes, directs, and coordinates functions and activities in the diet office to ensure regulatory compliance. Plans, schedules, coordinates and assigns work and establishes goals and priorities for diet clerks. Monitors and assists with patient meal orders or menu entry as required. Ensures standards of quality, hygiene, and efficiency are met throughout the food service operation. Resolves problems encountered by employees and patients during the course of the assignment. Alerts supervisor to problems and needs concerning equipment and supplies. Detects and reports spoiled or unattractive food and beverage, defective supplies and equipment or other unusual conditions. Maintains and establishes workflow, departmental policies, procedures, objections, quality assurance programs and health and safety standards as it pertains to the diet office. Trains new clerical support operators on taking patient diet requests. Educates diet office employees on therapeutic diets. (10%)
  • Communicates information passed down from the Patient Services Manager to the diet office staff. (5%)
  • Directs activities of one or more diet clerks who assist in taking patient meal orders. (5%)
  • Functions as a team player in the department, knowing when to ask for assistance as needed and being willing to assist others when requested. (5%)
  • Initiates telephone or personal contact as appropriate to ensure all patients receive a meal for each meal period during scheduled shift. (5%)
  • Answers phones in a professional manner following department phone etiquette procedures. (5%)
  • Maintains departmental records, logs, files. (5%)
  • Maintains clean, organized office. (5%)
  • Oversees inventory and ordering of office supplies and patient menus. Accurately tracks clinical activity data into department forms (5%)
  • Provides assistance with tray assembly and delivery as needed. Reads HeatlhTouch Screens and various census/dx reports, etc (5%)
  • Uses Computer systems to perform diet office functions and clinical activities. Prior to each meal service and throughout shift, updates patient information and diet orders in computer system that are received via computer, phone or FAX. Clarifies incomplete or ambiguous diet order and ensures accurate meal orders according to policy. (5%)
  • Makes necessary diet changes, process correct diet orders for all patients and keep Room Service order system updated. (5%)
  • Processes Room Service customer meal orders accurately and according to patient preferences and dietary restrictions, including patient/family initiated orders and for patients needing assistance. Updates and processes Room Service customer nourishments/supplements, snacks and tube feeding orders accurately and according to patient preferences and dietary restrictions, including patient/family initiated orders and for patients needing assistance. (5%)
  • Prints nourishment, supplement and tube feeding labels according to established time frames. Prepares and delivers nourishment, supplement, and tube feeding product according to standard procedures. As needed, follows guidelines and accurately calculates orders for tube feeding delivery. (5%)
  • Prints patient reports to determine which patients have not placed a meal order for the meal period. Process AD-13 requests for patient and/or guest meal service. (5%)
  • Enhances nutrition knowledge and professional growth and development through participation in meetings, in-services and literature review. (5%)
  • Actively participates in routine hospital, departmental and staff meetings/in-services, and professional meetings/in-services as assigned. (5%)
  • Actively supports and participates in Performance Improvement activities, including but not limited to tray assessments, meal rounds and hospital/department committees. Ensures confidentiality of patient information by creating and maintaining a secure and trusting environment by not sharing information learned on the job, except when necessary in the performance of the job responsibilities or to improve a patient’s care. (5%)
  • Promotes positive interpersonal (customer) relationships with fellow employees, physicians, patients and visitors. Treats these individuals with courtesy, dignity, empathy and respect; consistently displays courteous and respectful verbal and non-verbal communications. (5%)


Education:

  • No High School Diploma and/or No GED


Work Experience:

  • 1-3 years customer service experience required


Licenses:

Knowledge, Skills and Abilities:

  • Knowledge of supervisory principles and practices sufficient to be able to establish priorities, assign and review work and resolve problems as required.
  • Skill in communicating and establishing effective working relationships with other employees, organizations and the public.
  • Must be able to read, write and speak English.
  • Ability to speak both English and Spanish preferred (with documented competency of speaking Spanish).
  • Ability to handle multiple priorities at one time.
  • Able to perform repetitive hand and wrist movement.
  • Ability to demonstrate professional work behavior by following guidelines as established by policies and procedures.
  • Demonstrations competency with computer systems for order entry to update diet and patient information.
  • Ability to read HealthTouch screens and various census/dx reports, etc.
  • Computer data entry skills preferred.
  • Good typing, keyboarding and proofreading skills.
  • Experience with HealthTouch preferred.
