Job Description

New York City Emergency Management (NYCEM) helps New Yorkers before, during, and after emergencies through preparedness, education, and response. NYCEM is responsible for coordinating citywide emergency planning and response for all types and scales of emergencies. We are staffed by more than 200 dedicated professionals with diverse backgrounds and areas of expertise, including individuals assigned from other City agencies.

The External Affairs division works to engage with New Yorkers, elected officials, community organizations, private businesses and regional partners to inform them about the agency’s and the City’s efforts before, during, and after an emergency. Its units include Public Information (Press and Communications), Government Relations, and Strategic Partnerships.

Description of Project/ Intern Responsibilities:
We are seeking a highly motivated and detail-oriented External Affairs Intern to join our dynamic team. This internship offers a unique opportunity to gain hands-on experience in public affairs, strategic communications, and stakeholder engagement within a fast-paced environment. The intern will play a crucial role in enhancing our operational efficiency and strengthening our outreach efforts through various projects.

- Standard Operating Procedure (SOP) Development: Assist in the research, drafting, and refinement of a comprehensive Standard Operating Procedure manual for the External Affairs unit.
This will involve documenting existing processes, identifying areas for improvement, and creating clear, concise guidelines to ensure consistent and efficient operations.

- Hazard Guide Development for Elected Officials: Research and compile critical information to develop concise and actionable "hazard guides" for elected officials. These guides will aim to provide essential information and protocols for [specify types of hazards relevant to your organization's work - e.g., emergency preparedness, public health crises, environmental incidents, etc.], enabling informed decision-making and response.

- Template Creation and Standardization: Design and develop a suite of professional and user-friendly templates for various external affairs communications, including but not limited to: official correspondence, briefing documents, press releases, public advisories, and presentation slides. The goal is to ensure brand consistency and streamline communication processes.

Requirements/Special skills and qualifications needed:
The internship requires a candidate currently enrolled in a graduate program, preferably in Political Science, Public Relations, Communications, Public Administration, International Relations, Journalism, or a related field.

- Strong organizational skills.

- Familiarity with legal terminology.
- Proficiency in document management software.
- Familiarity with scanning equipment and software.
- Knowledge of archival principles.
- Ability to handle sensitive information.
- Writing proficiency.

- Problem-solving skills.
- Strong communication abilities.

The intern will be required to sign a confidentiality agreement with regard to all records reviewed and created during the internship. Per this agreement, the intern will not be permitted to maintain copies of any writing created during and/or relating to the project.

Only candidates with high ethical standards and who have successfully completed a Professional Responsibility course will be considered.

Qualifications

For Assignment Level I:
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school.
For Assignment Level II (Information Technology):
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or closely related field, including or supplemented by 9 semester credits in an acceptable course of study.
For Assignment Level III (Information Technology Fellow):
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or other area relevant to the information technology project(s) assigned, including or supplemented by 9 semester credits in an acceptable course of study. Appointments to this Assignment Level will be made by the Technology Steering Committee through the Department of Information Technology and Telecommunications.

SPECIAL NOTE
Maximum tenure for all Assignment Levels in the title of College Aide is 6 years. No student shall be employed more than half-time in any week in which classes in which the student is enrolled are in session. Students may be employed full-time during their vacation periods.
