Role Overview
This is a hybrid position. The successful candidate must be located within driving distance of our San Jose Office. The Executive Engagement Operations role is responsible for the seamless execution, tracking, and continuous improvement of Calix’s Executive Engagement programs—including Executive Briefings, Advisory Boards, and Executive Sponsor initiatives. This role ensures operational excellence, accurate program reporting, and a world-class experience for both internal stakeholders and executive customers. The successful candidate will be as comfortable interacting with C-Level executives as they are with their peers.
Key Responsibilities
Program Coordination & Scheduling
Coordinate and schedule Executive Briefings, Advisory Boards, and Executive Sponsor touchpoints, ensuring accuracy and timeliness.
Prepare briefing documents, agendas, and post-meeting communications in partnership with program leads.
Program Tracking & Reporting
Own and maintain program tracking systems, ensuring data completeness and integrity for all executive engagement activities.
Track and report on program metrics, including participation, satisfaction, and action item completion.
Customer Experience & Event Support
Greet and support executive customers during in-person and virtual engagements, delivering a high-touch experience.
Ensure onsite and virtual experience satisfaction through proactive support and attention to detail.
Process Improvement & Cross-Functional Support
Support the creation of project plans for Calix Advisory Boards (CABs), ensuring unified intake and execution processes.
Partner with cross-functional teams (Sales, Marketing, Product) to ensure alignment and operational support for all executive programs.
Manage the funnel of Executive Briefing requests and optimize the workload across our executive team
Skills and Experience
Bachelor's degree and 5+ years in program coordination, operations, or executive engagement support.
Strong organizational skills and attention to detail.
Experience managing complex scheduling and logistics for executive-level programs.
Excellent communication and interpersonal skills; comfortable interacting with C-level executives.
Proficiency with program management and reporting tools (e.g., Salesforce, Power BI, Excel).
Ability to work independently, prioritize tasks, and thrive in a fast-paced environment.

Self-starter with a bias for action, exceptional prioritization, and time management skills.

The base pay range for this position varies based on the geographic location. More information about the pay range specific to candidate location and other factors will be shared during the recruitment process. Individual pay is determined based on location of residence and multiple factors, including job-related knowledge, skills and experience.
