Job Description

Program Development Coordinator 2

This position coordinates and facilitates the various efforts and activities of the TMA department. This position also includes primary responsibility and administration for the successful functioning of the TMA front office, including oversight over department purchasing cards, travel arrangements, and building management.

What you will do in this position:

TMA Program Coordination

  • Attends TMA Executive Committee meetings and participates as directed
  • Helps execute TMA initiatives
  • Coordinates class schedules and spaces for all department courses and special events
  • Facilitates guest travel for the department
  • Gives tours and meets with prospective TMA students in all majors
  • Provides administrative support for Student Theatre Associations
  • Coordinates and oversees weekly department forums (theatre and film)
  • Supports student involvement in department/college/university projects
  • Represents the department at local career fairs, major fairs, and industry conferences in efforts for recruiting and outreach, as assigned
  • Keep updated lists of current student, current adjunct faculty, faculty advisement lists, and the department directory
  • Supervises the hiring, training (certification), and work responsibilities of 2 part-time staff (program support for Theatre Ed and Acting BFA programs)

TMA Office Management

  • Creates and implements office policies, trainings, and work schedules
  • Supervises the hiring, training (certification), and work responsibilities of 5-6 part-time student staff
  • Schedules all TMA owned rooms and spaces. Supports technology needs throughout the department
  • Manages TMA keys and security access doors
  • Manages inventory of classroom items (chairs, blocks, teaching supplies)
  • Coordinates building work orders
  • Oversees TMA purchasing
  • Oversees the department purchasing card, including reviewing and processing expenditures
  • Oversees the purchasing of all office supplies
  • Manages TMA stock of computers, and iPads
  • Stocks and manages TMA script library

What qualifies you for this role:

Required:

  • Bachelor’s degree
  • Five years of administrative experience in a university setting
  • Effective communication and writing skills
  • Excellent organizational skills, ability to multi-task
  • Effective time manager who takes initiative, is self-motivated, and meets deadlines without direct supervision
  • Ability to manage others, motivate their performance, and resolve conflict
  • Excellent customer service skills
  • Ability to organize and manage complex schedules
  • Advanced understanding of the Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), and Google Office Suite
  • Aptitude for understanding, mentoring, and working well with student employees

Preferred:

  • Familiarity with Workday, CourseDog, Box, ArtsVision and other BYU systems
  • Familiarity with Adobe, Canva

Pay Grade: 49

Typical Starting Pay: $22.00 to $28.75 an hour
