Conference Services Manager

The primary role of the Conference Services Manager is to who will manage and coordinate all conferences, meetings, group functions, and group activities booked through the sales department.

Responsibilities

  • Work with sales staff to service and solicit repeat business.
  • Contract review, Group Resume, and BEO creation.
  • Host site inspections.
  • Up-sell client events and manage function space and room block inventory as assigned.
  • Maintain client files and update information daily in accordance with established departmental policies and procedures.
  • Review daily postings of charges to master accounts of clients and resolve any discrepancies or process necessary adjustments and review final bill prior to presenting to the client.
  • Complete post-conference reports of events for senior management, and complete other reports as needed or requested.
  • Report and communicate meeting event needs between the client and hotel.
  • Prepare and distribute amenity request forms for specified clients.
  • Obtain designated approvals and follow-up on delivery.

Qualifications

  • Previous experience, 2-3 years in conference services in luxury hospitality with strong attention to detail.
  • High level of creativity and attention to detail.
  • Ability to work a variety of hours due to events being on weekends as well as weekdays.
  • Ability to negotiate, organize, delegate and work under pressure.
  • Demonstrated aptitude for problem identification and solving.
  • Proficiency in Delphi
  • Ability to manage multiple tasks and responsibilities.
  • Ability to operate in a team environment and develop relationships cross divisionally.
  • Excellent written and verbal communication skills.
