The American Heart Association has an opportunity for a temporary, part-time position as a Development Coordinator, on our School Engagement VP Team.

 

This position will report to the VP of School Engagement. This is a part-time position with 50/50 time in the field and in-office. The end date for the position is April 1, 2026. 

  • Five hours per day, five days per week - morning hours ideal, but flexibility is crucial.
  • Non-exempt hourly position with a 25-hour work week - early morning hours preferred.

 

This position is responsible for helping to support our School Engagement Team through administrative duties such as data entry & working with excel spreadsheets, online ordering, helping to facilitate material orders, scheduling various meetings and working with our local print site on the production of collateral materials.

Responsibilities

Administrative tasks – In Office, stationary:Will need Dynamics, Online website and Tableau training

  • Planning Meeting recaps from staff, input information in the school plan online
  • Create Save the Date flyers- Create and ship them to schools via the print website to staff’s local Office Depot (paper and electronic ones)
  • Create Mid-Event flyers as needed for schools
  • Add/Update incentives on Autumns online email spreadsheet
  • Order/Close out schools via online website and dynamics
  • Social Media template customization – would require a Canva and/or publisher background
  • Work with internal customer service team (COO) to order additional materials/instant supplies as needed/determined by reviewing the tableau report
  • Upload teacher lists to the website

Mobile tasks – Must have ability to drive throughout Broward County. Early mornings are a MUST and will need to be comfortable presenting in front of 500+ students.

  • Act as a backup for any assemblies, as needed/as necessary (Assemblies will begin as early at 7:30am – needs to be able to drive to location, comfort in presenting to students/faculty/staff)
  • Deliver Office Depot items – Save the dates, car line signs, personalized parent letters
  • Local Keychain Delivery, as needed/as necessary
  • Deliver supplies for the "Messy Challenge", as needed/as necessary
  • Envelope pick-ups, as needed/as necessary

Qualifications

  • At least three year’s experience in administrative work, project coordination and/or event management systems with strong attention to detail.
  • Must have intermediate skills in PowerPoint, Word, and Excel. Advanced knowledge and skill with these programs is preferred. These skills are subject to testing.
  • Experience in event planning, organizing, consultation and event management preferred. Proficient in using web conferencing software (Zoom, Microsoft Teams, Event.Gives etc.)
  • Demonstrated ability to work on multiple tasks concurrently.
  • Ability to objectively evaluate, make effective decisions and develop alternative solutions.
  • Ability to work in a team environment and interact with all levels of American Heart Association staff, volunteers, and the public. This includes ability and willingness to build and cultivate relationships within and outside the American Heart Association.
  • A willingness to work in an atmosphere requires flexibility and change. Validated ability to respond quickly to changing ideas, responsibilities, expectations, strategies, and other processes at work.
  • Must pass background check and must be at least 18 years old.

 

Preferred Qualifications, not required to qualify :

  • Nonprofit experience
  • Project management experience
  • Digital event production experience
  • Design skills, preferably in Canva or similar
  • Knowledge of email marketing basics
  • Experience using Tableau reports
  • Proficient in Microsoft SharePoint and Teams
