Located in Baltimore’s cultural center near the historic Mount Vernon neighborhood, UMMC Midtown Campus is a 180-bed, community teaching hospital with a focus on helping people manage chronic diseases, including diabetes, hypertension, pulmonary conditions, and infectious diseases.

Job Description

General Summary

Under direct clinical supervision of the on-site physician, assists in the delivery of patient care.  Performs delegated medical tasks, assists physician and nursing staff with patient care and may perform clerical duties. Where electronic system is in use, this position will utilize the EMR for documentation purposes. Fulfillment of job duties requires access to medication storage areas and to transport medications to/ from medication storage and delivery areas. Under direct supervision of the manager or designee fully participates in the day to day operations and patient flow, and provides oversight and acts as a resource for lower level Medical Assistant. Models teamwork, leadership by collaboration, communication, accountability, customer service, and mastery of clinical skills.

 

Principal Responsibilities and Tasks

The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification.  All medical assistants are expected to participate in both clinical and administrative tasks and display core values of the organization.  The below items are not to be construed as an exhaustive list of all job duties performed by personnel so classified.

  1. Leadership
  1. Directly supervise Medical Assistants, Ambulatory Practice Coordinators, and support staff and assure proper staffing levels.
  2. Works with the Manager to interview, hire, train/orient, supervise work performance, assigns work and work schedules.
  3. Establishes clear and concise expectations, organizes assignments, reviews work, assesses performance, administers competencies and provides constructive feedback. 
  4. Counsels and disciplines staff and recommend personnel actions in accordance with UMMC HR and departmental policies and procedures. 
  5. Completes annual Medical Assistants, Ambulatory Practice Coordinators, and support staff performance evaluations in a timely manner. 
  6. Serves as a clinic preceptor to MAI, MAII and SMAI and/or a clinic competency validator as requested by manager.
  7. Reviews call center ACD metrics where applicable. Creates performance improvement plans to address gaps in both/either areas.
  8. Models customer service principles, actively assists manager with training and monitoring of medical assistant and/or front desk customer service behaviors, provides service recovery, and implements process improvements to optimize service.
  9. Leads clinic huddles and staff meetings in collaboration with manager.
  10. Leads peers and team members with minimal supervision; coordinates assignments as directed, monitors patient flow, and adjusts assignments as needed to optimize efficiency.
  11. In collaboration with manager, co-leads implementation of new clinic initiatives and performance improvement projects.
  12. Provides direct care activities to support operational needs.
  13. Performs various tasks to support clinic operations as delegated by manager including supply management, equipment maintenance, and staff assignments. 
  14. Actively participates in one or more Ambulatory Services’ shared governance councils.
  15. Partners with the manager to develop and lead team-building activities in the clinic. Positively influences staff to participate in organizational surveys to assess safety culture, diversity, staff satisfaction, etc.
  16. Provides operational oversight of front desk and/or call center operations.  Serves as a primary staff resource for issues related to clinical, front desk and/or call center operations.

B. Clinical Duties

  1. Gathers and documents brief history and chief complaint in the medical record/EMAR. Act as a clinical resource for MAI, II, and SMAI.
  2. Follows established clinic workflows to facilitate efficiency and timely service to patients.
  3. Prepares patient for examination by the health care provider.  Performs and documents vital signs (blood pressure, pulse, temperature) and risk screening on all patients per hospital policy.  Reports out of range values in vital signs and risk screening to the provider.
  4. Performs routine clinic testing, including but not limited to:  Urinalysis, vision testing, hearing screening, pulmonary function testing, pulse oximetry, etc.  Follows established guidelines or protocols where applicable to obtain necessary testing based on the chief complaint prior to the exam.
  5. Assists provider with procedures including minor surgical procedures.
  6. Obtains necessary blood and urine specimens per provider orders.  
  7. Provides pre-printed patient education /material as directed by physician. 
  8. Exhibits compassion and empathy for all patients and families at all times. 
  9. Performs cleaning and disinfection of environment of care according to hospital policy.
  10. Performs high level disinfection of equipment instruments per unit/hospital procedure. 
  11. Manages PAR levels, stocks exam rooms, and orders clinical supplies as needed from the hospital’s supply management system.
  12. Ensures equipment used in clinical area has a current Biomed sticker and is ready for use.  Submits tickets for service and monitors status until resolved.
  13. Demonstrates knowledge and skills necessary to provide care appropriate to the patient populations(s) served.  Collaborates with interdisciplinary team to address patient/family needs.
  14. Demonstrates knowledge of the principles of growth and development over the life span and possesses the ability to assess data reflective of the patient's requirements relative to his or her population-specific and age specific needs.  Provides the care needed as described in the unit/area/department policies and procedures.
  15. Administers select medications and injections under direct supervision of physician as per clinic and hospital policy.  Assist in the UMMS immunization program, including giving injections and tracking data in a computer program. 
  16. Manages voicemail and in-basket messaging systems.  Retrieves and routes or addresses messages directly per established clinic specific workflows and hospital policy.
  17. Participates in patient outreach including pre-visit calls, follow-up screenings, and other care coordination activities such as contacting pharmacies, interprofessional team members, and other providers’ offices as appropriate to meet patient care needs.
  18. Contributes to the implementation of and explores opportunities to co-lead new population health initiatives or clinical performance improvement projects relevant to the MA role.  
  19. Participates in unique clinic tasks (specialty-specific procedures or tests, inpatient care coordination visits, etc.) as requested by manager. 
  20. Completes medication or equipment prior authorizations independently.
  21. Functions effectively in all medical assistant roles specific to clinic. Works independently and serves as a resource for others.   Serves as preceptor for new medical assistant and medical assistant students within the clinic.

C.  Administrative Duties

  1. Assists with basic front desk operations to include but not limited to: patient check in and check out, scheduling, filing, patient phone calls, facility fee quotes, co-pay collections where applicable template building, and informing patients of possible delays.
  2. Obtains prior authorizations for incoming referrals, performs benefit checks, and provides basic financial counseling.
  3. Manages EPIC work queues (WQ) including but not limited to registration, facility fee, specialty specific, claim edit, and outgoing referrals ensuring compliance with requirements and facilitating quality business operations.  Serves as resource to help troubleshoot issues with work queues. 
  4. Manages templates as directed by manager.
  5. Performs audits on front desk processes as requested. 
  6. Monitors administrative supply levels and orders necessary supplies.
  7. Responsible for reading email and other hospital communications timely and applying new information in daily practice.
  8. Takes an active role in ensuring compliance with regulatory requirements, e.g. completes clean sweeps and participates in regulatory tracers.  Maintains a safe environment of care and reports safety concerns
  9. Runs EPIC reports as needed to support daily operations.
  10. Generates Press Ganey patient satisfaction reports as requested by manager.

Patient Safety

Ensures patient safety in the performance of job functions and through participation in hospital, department or unit patient safety initiatives.

  1. Takes action to correct observed risks to patient safety.
  2. Reports adverse events and near misses to appropriate management authority.
  3. Implements policies, procedure, and standards consistently in the performance of assigned duties.
  4. Develops effective working relationships and maintains good communication with other team members.
  5. Identifies possible risks in processes, procedures, devices and communicates the same to those in charge.

Qualifications

Education and Experience

  1. High school diploma or equivalent required. 
  2. Completion of an accredited Medical Assistant program required.
  3. Current member of the American Association of Medical Assistant (AAMA) required.
  4. Current National certification through AAMA, NHA, or AMT required.
    1. Certification Includes:
      1. Certified Medical Assistant
      2. Certified Clinical Medical Assistant
      3. Registered Medical Assistant
  5. Five (5) years of medical assisting and medical clinic experience required.
  6. CPR certification required. 

Knowledge, Skills and Abilities

  1. Knowledge of aseptic and sterile techniques.
  2. Knowledge of blood and body fluid precautions.
  3. Demonstrated skill in venipuncture.
  4. Demonstrated proficiency in medical clinic scheduling systems (EPIC.)
  5. Demonstrated effective communication skills that promote teamwork among colleagues and support positive interactions with patients.
  6. Demonstrated advanced skill in delivery of patient care that serves as a basis for leading and guiding others.
