The Cohon University Center, part of the Campus Engagement team that resides within the Student Affairs’ division, is searching for a Scheduling Manager for University Space. This is an excellent opportunity if you thrive in an interesting and challenging work environment. Reporting to the Director of the Cohon University Center, you will primarily be responsible for coordinating use of university space. You will receive and process space requests from university faculty/staff, student organizations, conference and events, annual events, and other university-supported organizations. Additionally, you will work directly with VIP clients requesting university space.
Core responsibilities include:
Manage the daily building space schedule through reservation requests in-person, via phone call, email and the R25 Reservation System. Follow up with customers and building staff for additional event requirements. Explain university center policies and procedures to customers regarding proper usage of the space, such as furniture/equipment set-up and catering needs. Prepare daily event schedules and disseminate among student staff for posting.
Maintain the current digital, web-based reservations program, 25LIVE.
Supervise and train student employees managing events and staffing the information desk conveying the correct reservations policies and information.
Meet weekly with building support staff including: Media Tech, Catering, and Housekeeping to anticipate upcoming daily event schedules.
Provide billable services invoicing documentation to Financial Assistant for departmental billing.
Other departmental tasks including, coverage for other staff, providing services and answering questions at the information desk, room set-up, and other duties as assigned in support of the department.

You should be able to work outside normal business hours as evening and weekends are required to support special events.
Qualifications:
High school diploma or GED required; Associate’s degree or higher preferred
3-5 years of relevant experience required; customer service experience that includes demonstrated skills at solving logistic challenges and dealing with difficult customers highly desired.
A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
