Role Overview
We are seeking a detail-oriented and systems-savvy Virtual Assistant to support a coaching and digital courses business during an active growth phase. This role focuses on marketing automation admin, event funnel support, and email-based outreach, allowing the founder to stay focused on strategy, content, and delivery. The role will start part-time (20 hours/week) with the intention to scale hours as campaigns and events scale.
Core Responsibilities
1. QA & Testing Ownership
In addition to building and updating funnels/automations, I’d like the VA to fully own:
Testing opt-ins, emails, tags, pipelines, and links from a user perspective
Verifying replay access, permissions, and delivery
Doing pre-launch and live-campaign checks so issues are caught proactively
2. Post-Campaign Pipeline & System Cleanup
After events or campaigns, I’d like support with:
Cleaning and updating pipelines and lead stages
Tagging buyers vs non-buyers correctly
Marking contributors/speakers as completed for future use
General system tidy-up so nothing lingers or gets messy
3. SOP Support & Documentation
Alongside following SOPs, it would be helpful if the VA could:
Help document or update SOPs based on Loom walkthroughs
Note fixes or changes when something breaks or is improved
This is to avoid repeating explanations and to strengthen systems over time.
4. Proactive Problem-Solving
Where possible, I’d love the VA to:
Attempt resolution via SOPs first
Escalate issues with context and suggested solutions, rather than just flagging problems
This helps keep me focused on strategy and delivery.
5. Quieter Period Tasks
During non-launch periods, ongoing value could include:
System and folder clean-up
Asset and link checks
Outreach follow-up sweeps
Funnel or content asset audits based on checklists
