Job Description

AECOM is actively seeking a detail-oriented and motivated Project Specialist having access to exceptional training and career development opportunities. In this role, you will be instrumental in supporting the planning, execution, and completion of infrastructure projects for Spaceports and Airports infrastructure projects. Your organizational skills and ability to manage timelines and resources will be key to ensuring project success. 

Responsibilities:

  • Project and document controls specialist to support managers with planning, engineering and construction projects i.e., scope, schedules, invoices, contracts, reports/memos, cost control, review tracking, processing documents, and QA/QC.
  • Coordinate project activities, resources, and communication among team members and stakeholders.
  • Monitor project progress and provide regular updates to management and clients.
  • Organize project meetings, prepare agendas, and document meeting minutes.
  • Assist in risk assessment and mitigation strategies to ensure project success.
  • Collaborate with cross-functional teams and external partners, ensuring alignment on project goals.
  • Support compliance with safety regulations and quality standards.
  • Performs general administrative functions, such as document management, filing, log maintenance, processes incoming and outgoing correspondence, and transmittals into a database system.
  • Uses SharePoint tracking database provided by supplier/clients to manage and track archive records, including storage, retrieval and disposition.
  • Coordinates daily retrieval of information for users.
  • Ensures that only authorized personnel have access to inactive records.
  • Under direct supervision, performing general duties are often routine and repetitive.

 

     

    Qualifications

    Minimum

    • Bachelor’s degree in project management, engineering, business administration, or a related field.
    • 2 years of previous experience in project coordination or management, preferably within the aerospace or engineering sectors.or related field or demonstrated equivalency of experience and/or education
    • Proficient and experienced in word processing and spreadsheet computer programs such as Microsoft Office Suite.
    • US Citizen due to the nature of work.
    • Valid US Driver’s License required to visit project sites, clients, and other AECOM offices.  As a condition of employment, selected candidate must pass a Motor Vehicle Records review.

    Preferred:

    • Proficient in project management software (e.g., Microsoft Project, Trello, Asana), BlueBeam, Adobe, and Microsoft Office Suite.
    • Proficient in organizational and multitasking skills with the ability to work under tight deadlines.
    • Experience working on airport, spaceport, NASA, FDOT, United States Air/Space Force or aerospace industry standards and regulations are a plus.
    • Experienced and proficient in maintaining a proactive, solutions-oriented mindset to drive results and overcome challenges
    • Excellent communication skills including verbal and written between project team, clients, vendors, and contractors.
