The Ethics Office, under the leadership of the Ethics Advisor, contributes to the good governance of the Fund and assists the organization in maintaining high ethical standards of conduct and the reputation of the Fund and its employees for probity, integrity, and impartiality. The Ethics Office promotes awareness of ethics issues among, and provides advice and guidance, training, and education on ethics for Fund employees.
The Ethics Office’s responsibilities include (a) the provision of advice to management and the Human Resources Department (HRD) regarding the promotion of ethical standards within the Fund; (b) the provision of information, education, and training for Fund employees; and (c) the provision of advice and guidance to managers, staff members, contractual employees, and vendor personnel on questions pertaining to the rules conduct. The Ethics Office issues an annual report, to be made available to all Fund employees and members of the public, specifying the number and general nature of matters brought to its attention and describing the outcome of its work over the prior twelve-month period.
Under the supervision of the Ethics Advisor, the Projects Analyst will support and, to the extent appropriate, participate in, the ongoing activities of the Ethics Office, with a particular emphasis on supporting (1) the provision of timely advice and guidance, (2) the set up and keeping up to date of a comprehensive and current electronic matter and record management system and (3) the overall smooth functioning of the office.
Major Duties and Responsibilities
Supports the Ethics Advisor in setting up and keeping up to date a comprehensive Ethics Office work plan , in order to fully map, plan, and track progress of all Ethics Office activities (thereby managing the ETO activities database).
Takes on primary responsibility for the set up and keeping up to date of a comprehensive and current electronic matter and record management system.
Takes on primary responsibility for the Office’s administrative and logistical arrangements regarding ongoing updates of the Ethics Office’s intranet page, assisting with design of and update of advocacy materials, and support with responsibilities for the Financial Disclosure Program.
Provides support related to the Annual Ethical Conduct and Core Values Certification.
Supports the Ethics Advisor in the day-to-day management of the physical and virtual Office, particularly in the hybrid work environment, by maintaining a secure environment to prevent any unauthorized disclosure of confidential information, whether from physical or electronic documents or files.
Prepares and consolidates program of work and budget estimates as proposed by Ethics Advisor and generates periodic reports as requested; monitors budget related to projects/initiatives managed by ETO. Includes initiating recruitment actions for consultants, temporary staff, and interns as directed by the Ethics Advisor.
Proofreads reports and other communications issued by ETO. Supports the preparation and distribution of annual reports and other submissions to management in connection with the work of ETO by collecting and collating statistical data on the activities of the Office.
Manages and responds to the Office’s email correspondence and phone calls.
Organizes and schedules appointments, meetings, and conferences, including preparing agendas and taking minutes.
Assists with travel arrangements and expense reports for the Ethics Advisor and other staff members.
Coordinates with other departments to ensure smooth and effective communication and collaboration.
Performs data entry and maintains accurate records and databases.
Handles confidential information with discretion and ensures compliance with office policies and procedures.
Assists in the preparation of presentations, reports, and other documentation as needed.
Minimum Qualifications
Educational development, typically acquired by the completion of a university degree, or equivalent, is required. Alternatively, a minimum of two (2) years of relevant experience at Grade A5, or equivalent, is required.
Experience gained in a legal, investigation or ethics office environment will be particularly relevant
Technical/functional competencies:
High proficiency in the use of Microsoft Office (Word, PowerPoint, Excel), as well as social media and website design.
Solid understanding of IT security.
Proficiency in the use of IMF applications and/or case management / record management software applications would be an advantage.
Familiarity with IMF or other UN/IFI administrative procedures would be an asset.
Excellent organizational skills, including the ability to manage upwards in a complex environment. Ability to write concisely and clearly.
Efficient in delivering the tasks at hand with minimum supervision and attention to detail.
Excellent written and verbal communication skills in English, including the ability to explain concepts, and set out a coherent analysis in presentations.
This is a one-year contractual appointment. Contractual appointments at the IMF are renewable for up to four years of cumulative contractual service, pending incumbent's performance, budget availability and continuous business need.
