Service Support Administrative Assistant

This position is posted by Jobgether on behalf of Budderfly. We are currently looking for a Service Support Administrative Assistant in the United States.

This role plays a vital part in supporting the Technical Services team to ensure optimal system performance and high customer satisfaction. As a key contributor, you will manage vendor invoice approvals, customer billing disputes, and work order closures while coordinating communication between internal teams and service providers. Working in a fast-growing, mission-driven environment focused on sustainability and energy efficiency, you will help maintain seamless service delivery that positively impacts both customers and the planet.

Accountabilities:

  • Oversee vendor invoice approval, billable entity selection, and all related administrative tasks.
  • Manage customer billing disputes related to service support.
  • Ensure accurate and timely closure of work orders in the company’s Work Order Management system.
  • Review incoming service quotes and route them promptly to the appropriate Technical Support Associate.
  • Act as liaison between the company and service providers to maintain positive vendor relationships and ensure billing/payment accuracy.
  • Collaborate with contractor relations to assign preferred vendors to the correct service sites.
  • Maintain high standards of customer and contractor satisfaction throughout the Technical Services scope.
  • Strong interpersonal, verbal, and written communication skills.
  • Ability to coordinate multiple tasks concurrently and work both independently and as part of a team.
  • Detail-oriented with strong analytical and problem-solving abilities.
  • Willingness to work rotational weekend and holiday calls.
  • Passion for energy savings and sustainability.
  • Experience maintaining positive relationships with contractors and customers.
  • Eagerness to continuously learn and develop both technically and professionally.
  • Competitive hourly pay ranging from $20 to $24 based on experience and qualifications.
