Ash & Harris Executive Search is looking for a Paralegal (Estate & Trust Administration)
Overview:
We’re recruiting on behalf of a client seeking an experienced Paralegal to join their estate and trust administration team in Naples, FL. This is a full-time, onsite role supporting high-net-worth estate matters, with a focus on Florida probate, trust settlement, and federal transfer tax filings.
Key Responsibilities:
- Manage estate and trust administration from asset collection to final distributions
- Prepare inventories, schedules, and accountings using data from multiple sources
- Draft probate pleadings and fiduciary documents for review and e-filing
- Assist in preparing estate, gift, and fiduciary income tax returns (Form 706, 709, 1041)
- Coordinate deadlines, monitor case schedules, and support attorneys proactively
- Maintain clear client communication and act as a liaison between attorneys and families
- Use legal and tax software platforms to streamline filings and documentation
- Edit and proofread all work for accuracy and compliance with Florida and federal law
Requirements:
Education:
- Paralegal certificate, associate’s degree, or equivalent formal legal training
- Preferred: Four-year degree in legal studies or related field
Experience:
- At least 5 years in Florida estate and trust administration
- Hands-on experience preparing or assisting with federal estate, gift, and fiduciary income tax returns (Form 706, 709, 1041)
- Strong knowledge of Florida probate procedures and e-filing systems
- Preferred: Experience with trust/estate tax software platforms and high-net-worth estate accounting

- Proficiency in Microsoft Office
- Exceptional writing, organization, and client service skills
- Ability to manage multiple matters with high attention to detail
Compensation and Benefits:
- Salary: $70,000 - $95,000 per year (based on experience)
