About the Role
We are seeking a highly organized and detail-oriented Virtual Events Coordinator to join our fast-paced marketing team. This role is essential for driving our lead-generation efforts through the successful execution of online events, while also providing critical support for marketing operations and internal communications. This is a contract position with flexible, part-time hours (approximately 20-25 hours per week).
What you’ll be doing:
Primary Focus: End-to-End Virtual Event Management (Lead Generation)
You will be the core engine behind our lead-generating webinar program, managing all logistical aspects of the events from start to finish.
Pre-Event Logistics:
Coordinate with internal and external speakers regarding content, schedules, and materials.
Handle full event setup in platforms like Zoom (Webinar/Meetings) and/or our Community platform, Gradual.
Draft all promotional, registration, and reminder emails within our email and/or marketing automation platform.
Schedule and conduct dry runs to ensure a seamless speaker and technical experience.
Day-of Execution:
Manage all technical and logistical aspects during the live webinar, including event engagement tools (ie. polls), troubleshooting speaker/attendee issues, and initiating recording.
Post-Event Follow-up:
Manage the recording post-production process, including basic editing and final file preparation.
Develop follow-up communications to attendees and registrants.
Provide essential reporting on webinar performance, lead metrics, and engagement data.
Provide input on overall webinar process improvements, identify areas for efficiency, and ensure we are utilizing our webinar tool's full functionality.
Secondary Focus: Marketing Operations and Communications
You will support broader marketing efficiency and content distribution initiatives.
Content Repurposing & Distribution: Repurpose existing long-form content into concise, engaging materials for various channels, including customer newsletters, partner communications, and ad hoc internal requests.
Agency Project Management: Serve as a point of contact, coordinating project timelines, deliverables, and feedback loops with our external marketing and creative agencies.
Marketing Operations Support:
Assist with basic campaign setup of recurring events within our Marketing Automation Tool (Marketo), and other tools, to confirm list segmentation, proper tagging, and functional campaign flows
Assist with light reporting tasks related to campaign performance and data hygiene.
A successful candidate will have:
1+ years of professional experience in marketing, communications, or event coordination.
Strong organizational skills and exceptional attention to detail.
Proven experience managing digital events/webinars (Zoom, Gradual, or similar platforms).
Demonstrated ability to write clear, compelling marketing copy for emails and communications.
Familiarity with leveraging AI-based tools (e.g., Gemini, ChatGPT) for content drafting, ideation, or analysis in a professional work setting.
A collaborative and proactive attitude, comfortable working remotely across time zones.
Bonus Points:
Experience with a Marketing Automation Platform (Marketo, HubSpot, Pardot, etc.).
Based in or near the Boulder/Denver, Colorado area.

Compensation:
Scaled Agile is dedicated to fair and equitable compensation. The hourly rate for this role is $40 to $50 for a 3-month contract, with the possibility of renewal for an additional 3 months. Final rate for this role will be determined by various factors such as a candidate's relevant work experience, skills, and certifications.
