We facilitate Global Collaborations that enable funders to increase individual and collective impact. Our Global Grantmaking services enable funders to invest in climate solutions around the world.

Department Summary

Fiscally sponsored by ClimateWorks, the Global Industry Hub’s mission is to accelerate the decarbonization of heavy industry by mobilizing philanthropic and blended capital toward the most strategic, high-impact opportunities in steel, cement, and chemicals. The Hub bridges the gap between funders, policymakers, and industrial actors, turning complex, capital-intensive transitions into coordinated, investable pathways. Its value lies in its ability to act as a neutral, catalytic platform: aligning fragmented efforts, de-risking innovation, and building the institutional infrastructure needed for large-scale industrial transformation. By combining technical insight, financial innovation, and global convening power, the Hub enables funders to achieve far greater impact per dollar, accelerating emissions reductions while strengthening industrial competitiveness and regional development.

Job Summary

A highly organized and proactive role supporting the COO and leadership team to ensure smooth coordination across a global, multi-time zone organization. The Executive Assistant (EA) will manage scheduling, internal communications, and event logistics, helping the Hub operate efficiently as it scales. The role combines calendar and meeting coordination, event support, team communications, and ad hoc research projects. This role is ideal for someone who enjoys being at the operational center of a fast paced, mission driven organization and has experience managing digitally connected or remote communities.

Essential Tasks 

Executive & Team Coordination

  • Manage Program team’s calendar and scheduling across multiple time zones (US, Europe)
  • Maintain the Hub’s central team event calendar and ensure visibility of key meetings and milestones
  • Coordinate Management Committee, Steering Committee, and Investment Committee meetings
  • Schedule and support all-staff meetings (e.g., IC process discussions, MC updates, strategy sessions)
  • Maintain and circulate rolling agendas and meeting summaries

Communications & Documentation

  • Prepare and distribute meeting notes, summaries, and follow-up actions
  • Coordinate internal weekly newsletters summarizing priorities and key updates
  • Manage inbound requests and inquiries via the Hub’s website and general inbox

Strategic & Research Support

  • Conduct ad-hoc research and background preparation for leadership briefings, donor meetings, or events
  • Support the COO and Program team with data gathering for presentations or reports

Systems & Administration

  • Maintain organized team folders, templates, and documentation (Google Drive or equivalent)
  • Track key deliverables and follow-ups for leadership
  • Support onboarding of new staff (introductions, access, scheduling)
  • Provide ad-hoc coordination support for CSO as needed

Required Qualifications

  • 1 to 3 years of experience in administrative support, project coordination, operations, or digital community management, preferably with some international and non-profit experience

  • Proficiency in Google Workspace, Zoom, Salesforce, Excel, Slack, and scheduling tools; familiarity with project management platforms (e.g., Asana, Notion, or Trello); experience with event tools such as Aventi is a plus
  • Excellent written and verbal communication skills; ability to summarize complex discussions and coordinate across senior stakeholders
  • Strong time management and organizational skills; comfort working across multiple priorities and time zones
  • Proactive, dependable, and diplomatic; high emotional intelligence and discretion; enjoys being the “glue” of a global team
  • Experience supporting international teams and navigating multi-time-zone coordination
  • Ability to work effectively and efficiently (both virtually and in-person) with minimal supervision

Compensation

ClimateWorks offers an excellent benefits package and a competitive salary that is commensurate with experience (geographic differential applied based on location). 

Salary Range (Bay Area / NYC): $80,000 - $85,000 annually

Salary Range (Other US): $75,000 - $80,000 annually

To achieve this, we align our compensation structure with the economic conditions, labor market dynamics, and social benefit systems of the regions where we operate.

Salaries are determined based on country specific labor markets, allowing us to offer pay that is competitive within each region and consistent with other international organizations. Compensation is intentionally structured to be above lead local market averages and appropriate to the regional cost of labor. This approach supports our commitment to equity across our global workforce while enabling us to attract and retain top talent in diverse locations.

Location

ClimateWorks Foundation is based in the San Francisco Financial District. This position is classified as Global Flexible. Exceptional candidates can work from the SF office or from other locations, geographic differential applied to compensation based on local cost of labor.
